Within your role, you will:
- Maintenance and Repairs: Performing basic maintenance tasks such as changing light bulbs, fixing minor plumbing issues, repairing furniture, and conducting regular inspections to identify maintenance needs.
- Purchasing & Procurement: Assist with purchasing and procurement of facility supplies, equipment, and services, collect and compare vendor quotes to ensure cost-effectiveness and quality standards, process purchase requisitions and maintain purchase orders in the procurement system, ensure compliance with organizational procurement policies and procedures.
- Safety and Security: Monitoring the facility to ensure compliance with safety regulations and taking appropriate measures to address any safety concerns. This may include conducting safety inspections, maintaining emergency exits and equipment, and implementing security protocols.
- Space Management: Assisting in the allocation and utilization of space within the facility. This may involve organizing meeting rooms, setting up equipment for events or conferences, and coordinating with relevant personnel for room reservations and scheduling.
- Inventory Management: Keeping track of inventory levels for supplies and equipment needed in the facility, such as office supplies, cleaning materials, and maintenance tools. Ordering necessary items and maintaining records of inventory usage and expenses.
- Responding to Requests: Addressing facility-related requests and inquiries from occupants or staff members. This could include responding to maintenance issues, resolving facility-related complaints, and providing general assistance as needed.
- Vendor Coordination: Liaising with external vendors, contractors, and service providers for facility-related tasks. This may involve obtaining quotes, scheduling and supervising contractor work, and ensuring that vendors meet the facility's standards and requirements.
- Documentation and Reporting: Maintaining accurate records and documentation related to facility operations. This includes documenting maintenance activities, tracking expenses, preparing reports on facility performance, and ensuring compliance with regulatory standards.
- Health and Environmental Compliance: Adhering to health and environmental regulations and assisting in the implementation of related policies and procedures. This may involve waste management, ensuring proper disposal of hazardous materials, and promoting sustainable practices within the facility.
- Education and Experience: A high school diploma or equivalent. BOSH SO-1 and additional vocational training or certifications related to facility management, maintenance, or a relevant field is a plus. Previous experience in a similar role, such as facility management, maintenance, or general handyman work, is preferred.
- Knowledge and Skills: Basic knowledge of facility operations, maintenance, and safety procedures.
- Familiarity with general maintenance tasks such as plumbing, electrical work, carpentry, and equipment maintenance.
- Understanding of health and safety regulations and the ability to apply them in the workplace.
- Good problem-solving skills to identify and resolve facility-related issues.
- Strong organizational and time management skills to handle multiple tasks and prioritize work effectively.
- Excellent communication skills to interact with occupants, staff members, and external vendors.
- Computer literacy and proficiency in using basic software for documentation and communication purposes.
- Attention to Details: A facility assistant should have a keen eye for detail to identify maintenance issues, ensure cleanliness and safety standards are met, and effectively manage inventory and documentation.
- Teamwork and Collaboration: The ability to work well in a team environment and collaborate with other staff members, contractors, and vendors is important. Facility assistants often need to coordinate tasks and communicate effectively with various stakeholders to ensure smooth operations.
- Flexibility and Adaptability: Facilities may have unpredictable situations or emergencies that require flexibility and the ability to adapt quickly. Candidates who can handle unexpected challenges and take initiative in finding solutions are valuable in this role. They will also be moving from different sites and vendor locations, so mobility and flexibility is a must.

Job Type: Full-time
Pay: Php15,000.00 - Php18,000.00 per month
