Job Summary
We are looking for a detail-oriented and organized Administrative Assistant to join our team. The ideal candidate will be responsible for providing administrative support, managing office operations, and assisting in the smooth running of our new confinement center. This role is crucial in ensuring that our administrative processes are efficient and that our clients and team members receive top-notch service.

Pay: $2,000.00 - $4,000.00 per month

Job Summary
We are looking for a detail-oriented and organized Administrative Assistant to join our team. The ideal candidate will be responsible for providing administrative support, managing office operations, and assisting in the smooth running of our new confinement center. This role is crucial in ensuring that our administrative processes are efficient and that our clients and team members receive top-notch service.
Key Responsibilities
- Office Management:
- Maintain office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, and placing and expediting orders for supplies.
- Ensure the smooth operation of office equipment by completing preventive maintenance, troubleshooting malfunctions, and calling for repairs as needed.
- Organize and maintain physical and digital filing systems.
- Client Interaction:
- Handle incoming calls, emails, and walk-in inquiries with professionalism and courtesy.
- Assist in scheduling appointments, consultations, and facility tours for potential clients.
- Manage client check-ins and check-outs, ensuring that all administrative tasks are completed efficiently.
- Document Preparation:
- Prepare and edit correspondence, reports, presentations, and other documents as needed.
- Assist in the preparation and processing of contracts, invoices, and payments.
- Ensure all client and staff records are accurately maintained and updated.
- Support to Management:
- Provide administrative support to the management team, including scheduling meetings, preparing agendas, and taking minutes.
- Assist with the coordination and organization of events, meetings, and workshops within the center.
- Handle confidential information with integrity and discretion.
- Communication:
- Serve as a liaison between different departments to facilitate smooth communication and coordination.
- Assist in the creation and distribution of internal communications and announcements.
- Additional Duties:
- Assist in any ad hoc duties as required by the supervisor or manager.
- Contribute to the overall positive work environment and support the team as needed.
- Experience: Minimum of 1-2 years of experience in an administrative or office support role. Previous experience in a confinement center is a significant plus.
- Education: Diploma in Business Administration, Office Management, or a related field is preferred.
- Skills:
- Excellent organizational and multitasking abilities.
- Strong verbal and written communication skills.
- Proficiency in MS Office (Word, Excel, Power Point, Outlook) and familiarity with office management software.
- Ability to work independently with minimal supervision.
- Strong attention to detail and problem-solving skills.
- Language: Bilingual in English and Chinese is highly desirable.
- Work Hours: Monday to Friday, 9:00 AM to 6:00 PM, with occasional weekend or evening work depending on the center’s needs.
