Who you are
You like chatting with and mentoring young people from all backgrounds. The Senior Program Coordinator is the student’s first point of contact. The role provides ongoing student support to all CIEE participants. One of the first tasks of this student-facing position is to monitor an assigned group of participants, know them on a first-name basis, and guide them from the start to the end of the program. The role ensures that the assigned CIEE students have access to CIEE-related resources, course registration, medical support. Ultimately, the position creates a rewarding student experience and learning by mentoring our students in a new city, new school, new group dynamics, etc.
The position also supports the Interim Program Manager, helps to prepare documentation and participates in orientation, student advising, excursions, cultural activities. You work collaboratively with the Academic, Housing, Administration and Student Life Office (SLO) departments to achieve a common goal of student success. Assigned student participants can vary by semester and can be from semester long to short term Study abroad programs, custom programs. Teach in Spain, High School, etc., as well as other types of educational CIEE programs.
What You´ll Do
Academic: Advise students during the pre-departure online orientation and once they are onsite; track course pre-selection, ensure registration completion at the host institution and CIEE; monitor academic performance of students, hold regularly scheduled check-in meetings with students and implement the class absence policy. Monitor class attendance/absence of students by reporting back to the Academic Team of unusual circumstances (such as failed grades, poor performance, etc.). Coordinate academic support resources related to learning disabilities, requests for tutorials, exam dates, etc.
Student Support: Act as a “cheerleader” for students and be part of the orientation program to participants upon arrival, including sharing safety information addressed to minimize individual safety; work with the SLO team for orientation logistics for the assigned program; hold regular individual and group meetings with your assigned students by keeping well-published office hours; provide personal check ins for cases of student morale and culture shock, applying emotional first aid and securing students seek out medical care. Communicate to the Program Manager any unusual situations in areas of student support. Participate as chaperone in some excursions with students, in conjunction with other CIEE staff members. Lead efforts to create opportunities for intercultural learning and exploration of assigned group of students and deliver the “embedded intercultural training” to assigned group of students.
Student Standards of Conduct and Welfare: Become familiar with the CIEE participant contract and code of conduct. Deliver best practices of health and wellness through CIEE´s student life concepts, such as bystander intervention, community resources of care, and encouraging a positive learning experience. Communicate to participants applicable codes of conduct and the consequences of noncompliance, take appropriate action, in coordination with CIEE management, when aware that participants are in violation (email warnings, letters of concern, notification in Salesforce case management by opening incident cases, etc.).
Health, Safety and Security: Monitor HSS of all assigned students; work closely with SLO team to resolve cases of serious injury or illness; communicate all HSS cases to those that need to know in a timely and complete manner, following policies defined by the CIEE HSS standard operations manual. Manage any initial low-to mid-level health, safety, security issue and accommodation welfare incident involving behavioral student issues. Become familiar with first aid, bystander intervention training and sexual assault guidelines. Participate in meetings with pertinent CIEE on site staff to update and share any participant behavioral issues, HSS patterns/trends and other related issues in CIEE arranged housing that may be associated with the participant´s physical and emotional wellbeing/illness.
Crisis and Emergency: in rotation with the other center staff, carry the 24-hour in-country emergency telephone. Additionally, this position requires willingness to step if/when major crisis take place with assigned students, including doctor´s or hospital visits, in close coordination with a manager or director.
Communication: Maintain open communication about student incidents (medical or of any other type) with those who need to know, as defined by the CIEE policies. Participate in coordination meetings with the Student Life Office and Academic staff to review, consult and determine protocols and best practice for student in-country experiences, arrival/departure, orientation, and cultural activities, etc. Complete the CIEE communication protocol training with stakeholders, salesforce case creation, and act as a point person of contact with school representatives regarding participant incidents that pertain to your assigned students.
Program Evaluation: Help to manage the student evaluation processes after the orientation and at the conclusion of the program, including both evaluations of the program as a whole and of individual courses, help facilitate the visits of sending institutions and/or visitors from the US.
Marketing: Participate in the social media strategies of CIEE, such as writing a blog, record video stories during program activities.
Other duties as assigned.

The successful candidate is offered a full-time, thirty-nine (39) hour/week local work contract, paid monthly. Working hours will typically be Monday to Friday from 9:00 am to 5:30 pm, However, CIEE currently offers an additional work benefit on Fridays for this position to work from 9:00 am to 2:00 pm, based on a flex-time concept to compensate for busy “peak periods” during other times of the year. There may be occasional evening or Saturday or overnight excursions which are compensated for with recovery time.
The position is an in person and student-facing role that requires employees to be based full-time in Madrid at the start of the role. In this role you will have access to participant applications and other personal student information. CIEE staff might be privy to personal, medical and/or academic problems of participants and must respect and maintain the confidentiality of such records. The position is hired with a local contract and follows all local holidays and annual vacation days.
A background check will be conducted as a condition of employment, and you must have authorization to work in Spain.
- Passion for student development and a commitment to fostering a positive and supportive learning environment.
- Must be organized with at least five years of program coordination/administration experience.
- Need to have the confidence, interest, and soundness of judgement to provide effective communication with participants from diverse backgrounds.
- Communication: Proven ability to deal calmly and empathically with students who are adapting to new learning environments.
- Proactive and solution-oriented mindset, with a focus on student welfare and safety
- Minimal of four years’ experience. Staff supervision and team leadership experience a plus.
- Experience in emergency management and student counseling is highly valued
- Familiarity with Spanish culture and local resources for health, safety, and student support.
- Budget and expense planning experience
- Fluency in English and Spanish
- Bachelor´s university degree, or equivalent
- Proficient in using technology and software for communication, program management, and student engagement (e.g., MS Office, Excel, student information systems such as Canvas)
- Ability to embrace CIEE’s Core Values (Excellence, Integrity, Respect, Inclusion and Problem Solving) and culture.
- Legal authorization to work in Spain without the need for employer sponsorship.
