Personal Assistant to Center Head and Events Specialist J_48

We are seeking a highly organized and proactive Personal Assistant to provide comprehensive support to the Center Head and assist Communication team in event management.


You are:

• Highly organized
• Experienced in managing big amount of information in a constantly changing environment
• Ready to work closely with NBS Lviv Center Head and Leadership Team as well as other key stakeholders
• Confident in English on Upper-intermediate level (both written and verbal)
• Ready to work from Lviv office 100% ad-hoc: during on-site / hybrid events and Center Head presence

With you we will do:

• Active agenda management: Efficiently manage Center Head’ calendar and schedule appointments, meetings, and events
• Accept, challenge, refuse invitations: Evaluate and respond to invitations
• Meeting preparation: Coordinate and schedule slots for meeting preparation, ensuring necessary materials are available
• Minutes taking and agenda coordination: Attend meetings, take minutes, and assist in coordinating agendas
• Stakeholder network management: Maintain and update a comprehensive stakeholder network.
• Travel organization and claims management: Arrange travel logistics and manage expense claims.
• Administration of tickets for trips: Handle ticket administration for Poland/Ukraine trips
• Presents for all employees (including newcomers, maternities): Coordinate and arrange presents for employees on various occasions, such as birthdays, work anniversaries, and maternity leaves.
• Event management: drive planning and organizing various events, including offline, online, and hybrid events. This may include coordinating logistics, managing invitations, and ensuring smooth execution.
