About Us:
We are a dedicated family support charity based in Portsmouth, recently relocating to our brand new family support centre. Our mission is to provide essential services and support to families in need within our community.
Role Overview:
As the Bookkeeper, you will play a crucial role in ensuring the financial stability and operational efficiency of our charity. Working closely with the leadership team, you'll be responsible for maintaining accurate financial records, managing payroll, and supporting HR administration.
In this role, you will be handling the day-to-day bookkeeping, ensuring all entries are accurate, timely, and compliant with charity finance regulations. You'll oversee payroll processing, making sure that staff payments are made promptly. Additionally, you'll manage company expenses through our Soldo system, monitor cash flow, and track all financial transactions.
Your HR responsibilities will include administering and updating our HR software, Breathe, which involves keeping employee records current, managing holiday and sickness records, and addressing employee queries.
Finally, your work will support end-of-year audits by preparing and organising accounts to hand over to the accountant, helping us maintain a high standard of transparency and financial governance.
Key Responsibilities:
- Manage day-to-day bookkeeping, ensuring all financial records are accurate and up to date.
- Oversee payroll processing, ensuring timely and accurate payments to staff.
- Administer and maintain our HR software (Breathe), including updating employee records, monitoring holiday and sickness, and handling employee queries.
- Manage company expenses and oversee financial transactions using Soldo.
- Work closely with the leadership team to prepare financial reports and assist with audits.
- Support the development and implementation of HR policies and procedures.
- Ensure compliance with charity finance regulations and best practices.
- Preparation of accounts to hand over to accountant for end of year reporting.
Key Skills and Experience:
- Previous experience in bookkeeping, payroll, and HR administration.
- Familiarity with charity sector operations is highly desirable but not essential.
- Experience using accounting software (Xero) is highly desirable.
- Experience with expense management software (Soldo) and HR software (Breath) is a plus.
- Strong organisational skills and attention to detail.
- Ability to work independently and as part of a team.
- Excellent communication and interpersonal skills.
- A high level of discretion and confidentiality.
