Operations Coordinator
Broadstairs

Cygnia are the largest signage Maintenance company in the UK, and we are looking for an enthusiastic and well organised person to join our Operations Team. Cygnia focuses on keeping signage presentable and safe all over the UK. We work with household names and pride ourselves on offering an excellent customer experience and updates on projects and deliverables
At present the Operations team consist of a pool of Operation Coordinators (6), 2 Operations Administrators and overseeing the activities and guiding the teams are an Operations Manager and Assistant Operations Manager.
Due to the business increasing its projects and revenue we require additional assistance to our already busy and energetic Operations Team. We’re looking for someone to join us who wants a role where no two days are the same, a real problem solver and challenge champion.
The primary duty of the Operations team is managing allocated crews to achieve high levels of crew productivity and compliance with client specific attendance times.
Prioritising between reactive unplanned jobs, backlog and planned jobs is a main role for all those in operations.
Planning Diaries
Diarise engineers’ diaries and deliver on contracted PPM (Planned Preventative Maintenance) jobs and also work with their engineer teams to plan diaries, routes and any other logistics.
Develop effective communication with engineering crews to ensure that all job/site requirements are known, materials/plant are arranged, permits in place etc. to achieve high first-time fix.
Diary planning will take into account rest days, H&S travel and working hour limits and the feedback from engineers and crews.
Planning the jobs
All Operations can assist with job update narrative/photographs to ensure that the job brief has been met. Systems are to be updated with job history, details, updates and a clear narrative to enable swift and accurate issue of quotes/reports, or required re-visits.
Stock management of tools and materials in Vans. Checking the crews have the materials to complete planned jobs in the future.
Recording attendance of Crews and updating Client/Customer Service requirements
Notify the business of any crew absence (sickness), and any jobs affected to enable CS team to advise/update clients with ETA’s. Some jobs may be promised, and the engineer cannot attend – clients and customers will need to be informed, and site contacts updated.
One of the key tasks is also to keep other teams updated for any changes to planned jobs so everyone is informed.
Recording Overtime/Material costs versus Costs
Resolving Problems and Fixing Technical Issues
Operations in facilities management companies have a significant role in resolving issues and managing expectations. All operations staff have to solve issues within their capability and work with others to do so. Working closely with Engineers to make sure they have the tools and information they need to complete jobs safely and efficiently. There may be times when things don’t go to plan and being flexible and juggling dates and jobs to prioritise those with more importance will be needed.
Assisting other teams and departments
Due to the fast-moving nature of the business everyone is expected to help out when needed and assist with activities to support the business.
Training
Training will be given but most knowledge and learnt decision making will be learnt whilst working the role.
What Cygnia can offer:
The position is based at our offices in Broadstairs, Kent and the successful candidate must live within easy daily commuting distance of our office.
Working hours: 40 hours per week, Monday to Friday 08:30 - 17:00 with 30 mins unpaid lunch. This is an office based role. Flexible options available on a case by case basis.
Some rota phone cover will be required at weekends and some nights. This is shared between the team.

· Excellent communicator able to liaise with various departments and build customer rapport.
· You will be resilient when dealing with last minute changes of direction and flexible to tasks
· Proficient in Microsoft Office Programmes.
· Experience of ordering and scheduling systems desirable but not essential.
· GCSE Maths and English, minimum Grade C or equivalent.
· Intermediate use of Excel and familiarisation with online systems – this will be tested at interview.
· helpdesk experience and signage knowledge would be an advantage.
