Job Description
Bemidji State University (BSU) invites applicants to join our team as a Database Specialist. The Database Specialist maintains the BSU Foundation’s constituent relationship management (CRM) database to ensure data accuracy and implements appropriate data maintenance procedures, including training and support, and provides data analytics to inform strategic organizational decision-making.
Responsibilities of the Database Specialist include:
Administering the fundraising and donor management CRM solution (Blackbaud Raiser’s Edge), establishing and implementing database management policies and procedures and ensuring end-users receive training and support. (Percentage of Time: 30%)
  • Developing, documenting, and updating data maintenance policies and procedures.
  • Continuously researching, reviewing, and implementing best practices in data management.
  • Reviewing and interpreting legislation regarding data privacy and formulating new internal policies and procedures to maintain compliance.
  • Developing and providing training to new users and providing continuing education as new software features or applications are implemented.
  • Assigning and maintaining appropriate security access rights and roles for all end-users.
  • Training and supervising student workers in data entry/input.
  • Serving as the technical contact for University Advancement office, evaluating and advising on new software applications to meet organizational needs; implementing applications and troubleshooting technical issues.
Inputting, analyzing, resolving, and maintaining data to ensure data integrity. (Percentage of Time: 30%)
  • Importing data from a variety of sources/third-party vendors, including new graduate records, employment information, biographical updates, and data in goal areas.
  • Establishing and maintaining working relationships with campus departments to obtain accurate data on BSU employees, retirees, emeriti, and other affinity groups.
  • Researching, recommending, scheduling, and executing data appends using third party vendors as needed (NCOA address updates, deceased appends, etc.)
  • Routinely auditing CRM for missing, incomplete, or inconsistent data and establish process for updating.
Data extraction and reporting to enable communications to reach their audience and provide relevant analysis/recommendations. (Percentage of Time: 30%)
  • Executing complex analysis for segmented appeals and communications, exporting data, and presenting data, findings and recommendations to advancement team members.
  • Establishing workflow and implementing project management system for managing internal (staff) and external (campus partner) requests for data and technical support.
  • Developing, generating, and providing relevant reports as requested for VSE report, appeal/giving analysis, fundraising reports, event registration lists, and other reports.
Other duties to assist Advancement operations. (Percentage of Time: 10%)
  • Opening daily mail, logging checks, and providing accurate list to Gift Processing Specialist.
  • Providing event assistance, including onsite registration/check-in, event set up as needed.
  • Assisting constituents on the phone or in-person as needed.
  • Attending relevant team meetings and professional development.
Minimum Qualifications
  • Associate degree in a technical field such as business, computer science, data analytics, applied science or similar, or an equivalent combination of related training, education, and/or experience.
  • Comprehensive understanding of and direct experience in maintaining a CRM.
  • Demonstrated knowledge of database management best practices.
  • Analytical skills to develop complex queries and reports and make recommendations for data improvement processes.
  • Advanced computer skills to efficiently and accurately enter and import data from multiple platforms, integrate new software features, and troubleshoot problems.
  • Demonstrated knowledge of various software, such as Microsoft Excel, CSV, Word, and other programs, used for creating reports, developing mailing lists, and merging data.
  • Strong verbal and written communication skills to train and work with end users and other team members who make data or report requests.
  • Problem-solving skills and the ability to prioritize projects.
Preferred Qualification
  • Bachelor’s degree in information technology, computer science, business, or related field.
  • Experience with Blackbaud Raiser’s Edge CRM.
  • A demonstrated commitment to the principles of diversity, equity, inclusion and anti-racism.

The City of Bemidji
Bemidji State University and Northwest Technical College lie amid the lakes and forests of northern Minnesota. Bemidji State occupies a wooded campus along the western shore of Lake Bemidji while Northwest Technical College lies just three miles east, near Bemidji’s robust industrial district.
The city sits between Minnesota’s three largest American Indian tribal nations: the Leech Lake Band of Ojibwe, the Red Lake Nation and the White Earth Nation. When settling the Bemidji area in 1750, the Ojibwe people named the lake Bemidjigamaag, which means “a lake with crossing waters” as the Mississippi River flows in from the south and exits on the east. Today, a city proper with a population of around 15,000 serves as a regional economic and cultural hub for about 100,000 Minnesotans.
Located just minutes away from a thriving downtown Bemidji, both the BSU and NTC campus communities have convenient access to affordable restaurants, fine-dining experiences, cozy coffee shops, grocery stores — including a natural foods co-op — city parks, and nearly unlimited outdoor recreational opportunities. Small, locally-owned shops and art sculptures line Bemidji's downtown streets, while national chains are also found in and around the area. The historic Paul Bunyan Playhouse has a calendar of classic shows, restaurants offer weekly live music performances, the First Friday Art Walk provides a tour of new monthly art exhibits, and annual festivals bring the community together throughout the year.
Additionally, the North Woods setting means students, staff, and faculty have a variety of activities available at their fingertips year-round. With more than 400 lakes — and a 240-acre research forest owned by BSU — within 25 miles of the city, there is easy access to kayaking, canoeing, swimming, boating, paddle boarding, hunting, hiking, biking, foraging, fishing, and more. An expansive network of multi-use trail systems is available for running, cross-country skiing, single-track or fat-tire biking, and skijoring. Further, downhill skiing, snowboarding, and tubing lie just north of Bemidji at the Buena Vista Ski Area.
Bemidji is also near two of Minnesota’s 66 state parks: Lake Bemidji State Park, which sits along Lake Bemidji’s northern shore, and Itasca State Park, home to the majestic Mississippi River Headwaters. Both parks are popular recreational and camping destinations where locals and tourists gather for sailing, swimming, and fishing during the summer months, and skating, hockey, curling, and—yes—more fishing in the winter.
Of course, no tour of Bemidji is complete without a visit to — and a selfie with — its two most famous residents: the iconic statues of Paul Bunyan and his trusty companion, Babe the Blue Ox. The famed duo, which has greeted visitors to Bemidji since 1937, is on the National Register of Historic Places and was once ranked by Kodak as the second most-photographed statue in America.
