Essential Job Functions:
The Judiciary Clerk performs duties as a Criminal Clerk by managing dockets; docketing incoming pleadings and orders; opening and processing new cases; and processing search warrants, expungements, and appeals. Assists the public, court personnel, and justice partners in posting bonds, filing paperwork, and completing court related forms. Occasionally performs necessary work as a Courtroom Clerk as needed for criminal hearings and jury trials. All other duties as assigned.
Essential Duties and Responsibilities:
Review sand process all expungement petitions, dockets, associated orders and certificates of compliance.
Assists customers and court related personnel, either in person or over the phone, about the status of cases and/or court procedures. Provide various forms as requested to customers.
Prepares cases for court hearings by printing dockets; communicating with the assignment office; communicate with the jail regarding inmates for transportation and jail credit information; obtain jury requests from defense counsel; determine the number of jurors needed and relay to jury clerk; ensure all cases are scanned for court.
Enters new cases and update existing case information into the court?s data system. Process pleadings received through file and serve system. Retrieve orders from Task Manager and file & serve and process, and forward copies to the appropriate parties.
Performs the duties of a courtroom clerk in non-complex criminal hearings by assisting the Judges in court; completing and processing all paperwork relating to the courtroom proceedings, both in and out of the courtroom; administer appropriate oaths when needed; record proceedings of court activity in clear, concise, and legible manner. Perform occasional marriage ceremonies. Perform all other duties as assigned.
Minimum Qualifications:
Education:
High school diploma (or GED equivalent).
Experience:
One (1) year of work experience, preferably in court operations or in the field of criminal justice, parole and probation, legal or financial services.
Note:
A bachelor?s degree may substitute the required work experience.
A Paralegal/associate degree or 60 college credits may substitute the required work experience.
A Paralegal Certificate may substitute the required work experience.
Knowledge, Skills, and Abilities:
Knowledge of:
General office practices, procedures, and equipment.
Standard legal forms and documents used in the Judiciary.
Basic English and arithmetic to include, but not limited to, spelling, punctuation, addition, subtraction, multiplication, and division.
Skill in:
Customer service and handling problems tactfully and patiently.
Typing on a personal computer.
Accuracy and attention to detail.
Ability to:
Use standard office and business equipment including, but not limited to, personal computers, word processing, spreadsheets, database software, copier, microfilm machine, register, scanner, fax machine, etc.
Use and maintain alphabetical and numerical filing systems.
Communicate clearly, tactfully, and effectively with judges, the public, police agencies, attorneys, and other court officials and personnel, both verbally and in writing.
Apply various court procedures accurately and effectively for assigned courtroom in accordance with courtroom protocols.
Follow procedures, verbal and written instructions, and protocols for any given assignment.
Use proper grammar, punctuation, and spelling.
Exercise independent judgment in interpreting and applying appropriate policy, procedure, rule, law, and/or regulation to a situation.
Multitask, adjust to situations quickly, set priorities, and handle pressure in a fast-paced environment.
Pay attention to detail.
Establish and maintain effective working relationships with other employees, superiors, and/or the general public.
Apply correct job-related terminology to tasks and duties.
Maintain organization and prioritize workload.
Perform all essential job functions as assigned.
Physical Requirements:
Sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
Equipment, Machinery and Tools:
Personal computer, scanners, copiers, printers, calculators and telephones are used daily to perform the duties outlined above.
Software and Computer Skills:
Microsoft Word, Odyssey and Outlook are used daily to perform the duties outlined above.
