Essential Job Functions:
This is an entry-level clerical position performing case processing duties and responsibilities daily. The incumbent receives criminal charges from the District Court, Grand Jury, and State's Attorney's Office; initiates case files; enters information of cases into the MDEC system; and scans documents into Odyssey. Receives electronic documents filed in File and Serve, and processes accordingly. Receives Court orders and documents from Judges from Task Manager and processes them in the MDEC system. Reviews Court dispositions entered in Odyssey for accuracy and transfers information electronically to CJIS. Processes and distributes warrants, summons, and writs for transportation of defendants/incarcerated individuals for Court. Creates invoices; assesses and/or collects court costs. Processes bails, administers oaths, and prepares forms for release of incarcerated individuals.
Essential Duties and Responsibilities:
Receive all charging documents from District Court, Grand Jury, and State's Attorney's Office. Initiate case number with case information in MDEC and scan documents into Odyssey to create an electronic court record
Review and process mail, orders, and all Court pleadings. Ensure computerized documents are current with information. Send information to the Judge's queue for review and/or parties or other court agencies.
Review Court Clerk?s information entered in Odyssey system. When information is correct, close case and electronically send information to CJIS, so information will appear on Defendant's Criminal Justice Information System's Report.
Read and interpret Court orders to determine appropriate Clerk actions. Process and distribute all Court orders to the appropriate parties and agencies.
Assist the public, support agencies, Court staff and parties to a case with Criminal cases and their status either via telephone, in person, through written correspondence and internet.
Record and verify bail information on appropriate documents. Administer oaths to Defendants and surety. Prepare release of incarcerated individual forms for their release.
Issue summons and writs for transportation of incarcerated individuals for scheduled Court hearings. Issue warrants as directed.
Receive preliminaries from District Court, update information in Circuit Court case with current bail information and any changes to the case.
Minimum Qualifications:
Education:
High school diploma (or GED equivalent).
Experience:
One (1) year of work experience, preferably in court operations or in the fields of criminal justice, parole and probation, legal or financial services.
Note:
A Bachelor's Degree may substitute the required work experience.
A Paralegal/Associates Degree or 60 college credits may substitute the required work experience.
A Paralegal Certificate may substitute the required work experience.
Knowledge, Skills, and Abilities:
Knowledge of:
Defining problems, collecting, and recording data, establishing facts, drawing valid conclusions,
applying common sense understanding and making decisions based on knowledge and experience to solve problems in accordance with established policies and procedures.
Reading and applying job-related terminology, codes, policies, procedures, rules, regulations, and laws as required to exercise judgment in their interpretation and application.
Skill in:
Basic math, including the ability to count money, make change, write bills, and operate a computerized cash register.
Operating a personal computer and/or laptop to perform basic data entry error-free and use a desktop scanner and printer.
Operating a multiple line telephone and answer incoming telephone calls in a respectful and
professional manner; repeat information in the correct text it was given.
Operating a copier to make copies, fax documents and scan documents to email.
Scanning paper files into Odyssey for future hearing dates.
Ability to:
Communicate verbally and in writing utilizing proper grammar, punctuation and spelling in an effective, patient, and tactful manner with internal and external customers, including co-workers.
Listen to verbal instructions and/or review written instructions to fulfill requests and complete various tasks.
Articulate directions, instructions and information in a group or a one-on-one setting to attorneys,
Defendants, Judges, Court staff and other Court agencies using proper word tense and annotation.
Multi-task by organizing, setting priorities, focusing, and concentrating to simultaneously process work and responsibilities error-free within considerable time constraints and in an environment with continuous interruptions; make corrections as needed.
Read and interpret comments, notations, and orders, record essential information, and initiate
appropriate course of action.
Physical Requirements:
Sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
