Essential Job Functions:
The Judiciary Clerk processes and maintains case files by reviewing and determining case type; uses a computer keyboard to input docket information; prepares and issues appropriate summons, notices, or writs; calculates and collects fees; and handles the collection, review, and docketing of case file documents prior to and following court hearings. Assists the public and attorneys by providing information about the status of the cases and Clerk?s Office procedures. Performs all other related functions of the division.
Essential Duties and Responsibilities:
Assists a Department within the Clerk?s Office in multiple clerical functions, which may include but are not limited to:
Working in multiple departments such as Civil Domestic, Civil Law & Equity, Child Support & Paternity, Criminal, and Courtroom Clerks.
Pulling and re-filing case file folders.
Filing pleading in case file folders.
Scanning or wanding case files in MDEC/USC and entering proper locations.
Research and locate records for others.
Basic data entry into MDEC/UCS.
Assisting customers with their inquiries at the counter and/or by answering telephones.
Processing mail.
Making copies.
Sending faxes.
Using a computer and printer to prepare file folder labels, form letters, etc.
Other duties as needed.
Minimum Qualifications:
High school diploma (or GED equivalent).
Experience:
One (1) year of work experience, preferably in court operations or in the fields of criminal justice, parole and probation, legal, or financial services.
Note:
A Bachelor's Degree may substitute the required work experience.
A Paralegal/Associates Degree or 60 college credits may substitute the required work experience.
A Paralegal Certificate may substitute the required work experience.
Knowledge, Skills, and Abilities:
Knowledge of:
General office practices, procedures, and equipment.
Standard legal forms and documents used in the Judiciary.
Basic English and arithmetic to include, but not limited to, spelling, punctuation, addition, subtraction, multiplication, and division.
Skill in:
Customer service and handling problems tactfully and patiently.
Typing on a personal computer.
Accuracy and attention to detail.
Ability to:
Use standard office and business equipment including, but not limited to, personal computers, word processing, spreadsheets, database software, copier, microfilm machine, register, scanners, fax machines, etc.
Use and maintain alphabetical and numerical filing systems.
Communicate clearly, tactfully, and effectively with judges, the public, police agencies, attorneys, and other court officials and personnel, both verbally and in writing.
Understand and abide by departmental rules, regulations, and procedures.
Exercise tact, diplomacy, and impartiality in dealing with the public, law enforcement personnel, and attorneys.
Follow procedures, verbal and written instructions, and protocols for any given assignment.
Use proper grammar, punctuation, and spelling.
Exercise independent judgment in interpreting and applying appropriate policy, procedure, rule, law, and/or regulation to a situation.
Physical Requirements:
Light work. Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. If the use of arm and/or leg controls requires exertion of forces greater than that for sedentary work and the worker sits most of the time, the job is rated for light work.
Equipment, Machinery and Tools:
Personal Computer, monitor, keyboard, mouse, laser wand, and printer for everyday work.
Telephone to answer incoming calls and place outgoing calls.
Copier / fax / scanner
Cash Register to process filing fees.
Credit Card machine to process filing fees.
Calculator to add filing fees collected throughout the day to balance out the cash register.
Language Line Phone to assist non-English-speaking customers.
Software and Computer Skills:
Microsoft Office 365, including Word, Excel, and Power Point
Microsoft Outlook for email communications
Odyssey/Odyssey file and Serve
Cash Register for collecting fees
CAP (Court Applications Portal)
Paper Vision for scanning and researching liens, divorces, and judicial records
Oracle People Soft for CONNECT Timekeeping and HR processes
