Job Title: Office Coordinator
Division: Unclaimed Property
Union: AFSCME
Location: Springfield, Illinois
Salary: $50,412 Pursuant to AFSCME Collective Bargaining Agreement
Overview:
The Office Coordinator position in the Claims Section is a clerical position responsible for claims processing of unclaimed property with the goal of reuniting owners with unclaimed property. The employee devotes time to both claims processing and accounting duties. In addition to claims review the employee oversees warrant and 1099 duties. Attendance is an essential function of this position.
Duties and Responsibilities:
- Processing, tracking, and follow up on all aspects of check traces which includes original warrants
- Working knowledge of SAMS procedures and updated accounting bulletins from the Illinois Comptroller’s Office
- Maintenance of all information pertaining to 1099 processing, updated information, detailed log of all data, and social security number certification
- Processing of all stale dated warrants
- Cancelling and Reissuance of claims
- Performs other duties as required related to warrants and 1099 procedures
- Performs clerical functions including but not limited to filing, processing incoming mail, and letter preparation
- Communicates with co-workers, private citizens or their legal representatives via telephone, written correspondence or in person concerning claim/report status and/or proper completion of the claim reporting form
- Reviews and indexes claim to closure
- Perform other duties as assigned or required which are reasonably related to the duties enumerated above
- Basic computer skills with focus on Microsoft Excel
- Familiarity with Microsoft Outlook
- Excellent communication and interpersonal skills
- Ability to maintain satisfactory working relationships and communicate effectively with all levels of staff and the public
Associate degree, bachelor’s degree desired; three (3) or more years of related office experience, and one (1) or more years of related unclaimed property industry experience; OR any equivalent combination of experience and training that provides the required knowledge, skills, and abilities to carry out the duties of the position.
