Why this role matters
The Salvation Army (TSA) Supported Accommodation and Afterhours Crisis Responses (SAACR) portfolio in Victoria and South Australia works with adult and child victim survivors who have experienced or are experiencing family violence. SAACR provides a welcoming and accessible environment that is safe and supportive to individual needs. The portfolio is committed to ensuring that it is inclusive and sensitive to the needs of individuals from all backgrounds including Aboriginal and Torres Strait Islanders; people who identify as lesbian, gay, bisexual, transgender and intersex; people from culturally and linguistically diverse communities; and people with a disability. SAACR comprises of short-term refuge, long term refuge, transitional accommodation and after-hours crisis response.
About the role
We currently have an exciting opportunity for a values-driven and proactive Business Operational Support. The position will be instrumental in managing an effective delivery of high-quality administration support to the Salvation Army’s Supported Accommodation and Afterhours Crisis Responses Portfolio that aids Family Violence clients with a range and combination of complex needs.
This is a max-term (June 2025 ) part-time (15.2 hrs/wk) position. The primary location will be within Merri-bek LGA, working out of our Coburg office site in Coburg North, VIC. Salary and conditions are in accordance with the SCHARDS Level 3.
You will successfully
  • The business operations role will support the day-to-day operations of the office to ensure site processes are in line with and meet the requirements of the Salvation Army policies and procedures
  • Maintain a high level of communication when receiving phone calls and produce high quality correspondence, reports, and other documents as required
  • Maintain a methodical record system for all finance related responsibilities, e.g. petty cash, fleet management, voucher dissemination, preparation of accounts payable
  • Prepare and maintain appropriate, accurate and confidential client records on the relevant databases including assessment, case notes, case plans, safety plans and statistical data.
  • Provide administrative support to Management and staff onsite
  • Ensure building and office equipment is in good working order and organise for servicing and /or maintenance and/or purchasing
  • Maintain quality systems, e.g. archiving, forms presentation, LEARN administration, mobiles, and phone systems
  • IT Site Administrator for the site
  • Manage induction of all new starters
  • Maintain site and security registers, including issuing of staff identification tags
  • Work within WHS legislation, TSA WHS guidelines and policy and requirements

What we're looking for
  • Relevant Business qualification such as Certificate IV or Diploma in Business Administration (desired)
  • Demonstrated experience in reception/administration responsibilities
  • Experience in working for Not For Profit and family violence sector (desired)
  • Well-developed interpersonal and excellent verbal and written communication skills with the ability to liaise and build strong relationships with a diverse range of stakeholders
  • High attention to detail with proven ability to maintain confidentiality of service users and professionally handle sensitive data and information
  • Demonstrated time management and organisational skills with a proven ability to clarify roles and responsibilities of self and team members whilst monitor task completion to ensure objectives and priorities are met
  • A high level of knowledge of administration specific skills, e.g. Word, Excel, IT, finance management, security management and utilises technology and software applications effectively in accordance with task requirements
  • Knowledge of health and safety responsibilities and commitment to performing duties in a safe manner to ensure safety of self and others
  • A current VIC Drivers Licence
  • Valid VIC Employee Working with Children Check
  • Ability to provide proof of Eligibility to Work in Australia
