The Records Management Officer is responsible for contributing to the Museum’s strategic direction for records and information management in line with Whole of Government information management policies, National Archives of Australia requirements, the museum’s Corporate Plan, and business objectives for records and information management.
The Records Management Officer will be a key evangelist for information management initiatives within the organisation, engaging with and influencing decision makers to invest in records and information management. They will undertaking a diverse range of tasks to support the effective management of the Museum’s corporate records, including the development of the records management program and systems.
Proper record keeping is an integral requirement for all Commonwealth organisations and supports strong business practices and decision making. An understanding of the regulatory environment that impacts records and information management will be critical for supporting the Museum’s information governance; working within an environment of constrained budgets, competing priorities and high customer expectation.
The role is physically situated within the museum’s library and will work with other museum information staff to provide a wholistic approach to information management across the organisation.
Key Accountabilities:
Assist the museum to manage its physical and electronic records, including the sentencing and destruction of physical and digital records and the ongoing transfer of records to the National Archives of Australia.
Under limited direction, this position is responsible for delivering the following functions:
- Develop, implement and maintain documentation around the museum’s corporate document management system (both electronic and paper files), including policies, procedures, forms and templates.
- Provide advice on information management strategy and frameworks, with reference to Australian Government laws, policies, and standards. Assist to implement best practice information management policy and record keeping ensuring that this is in line with National Archives of Australia policies and any other relevant legislation.
- Using your knowledge of the above requirements, in consultation with relevant stakeholders, assist to develop and deliver training materials and coaching to ensure understanding and effective use of the museum’s record management system to create a positive records management culture.
- Work collaboratively with internal stakeholders to design and implement improvements to the current system to ensure efficient operations.
- Implement a program for the timely identification and where authorised the disposal of the Museum’s information documents, both electronic and hard copy.
- Respond to internal staff questions and queries around record keeping requirements, best practices and use of the document management system.
- Provide occasional ad-hoc support and cover for the museum’s library staff as required, including public reference support when library staff are away.
- Demonstrated experience in managing records and records management systems preferably within Government.
- Ability to prepare procedure documents, training materials and stakeholder communications.
- High level organisational skills with capacity to identify and manage multiple priorities in a fast-paced environment.
- Highly developed oral, written, and interpersonal communication skills.
- Strategic thinking and problem-solving skills with the ability to develop options and solutions.
- Practical knowledge of how to apply the Commonwealth’s record retention rules and other applicable Commonwealth record keeping frameworks.
- Understanding of, or the ability to quickly acquire, the Australian Government operating environment, particularly in relation to, the National Archives Act 1986, the Australian National Museum Act 1990 and the Public Governance, Performance and Accountability Act 2013.
Qualifications and/or relevant experience required
Desirable
- A tertiary qualification in Information Studies or equivalent vocational experience is required.

Selection for this position will be made on the basis of relative merit which will be assessed against each item of the selection criteria. Psychometric tests may be used as the initial short-listing test or later in the selection process. Some tests are very short while others may take one or more hours.
