The Role
To ensure the operating efficiency of the reception area during regular business hours and support the work of management and other staff. To provide good customer service for clients by identifying and exceeding their expectations for professional accounting service.
Duties and Responsibilities
  • Reception
  • Answer general phone inquiries using a professional and courteous manner
  • Direct phone inquiries to the appropriate staff
  • Reply to general information requests with accurate information
  • Greet clients/visitors to the organization in a professional and friendly manner
  • General Administrative Services
  • Forward voicemail from the general mailbox to the appropriate department/staff member making sure emergencies are dealt with promptly
  • Sort incoming mail, faxes, and courier deliveries for distribution
  • Prepare and send outgoing faxes, mail, and courier parcels
  • Inventory, receive and store the office supplies ensuring that basic supplies are always available
  • Organizing and filing documents
  • Liaison with client and Canada Revenue Agency
  • Bookkeeping using QBD, QBO and Xero
  • Preparing and organizing tax returns (training provided)
Who You Are
We are looking for an accounting unicorn, but we believe they are out there. Do you possess these attributes?
  • Post-secondary education in administration, and bookkeeping knowledge is a must.
  • 1-3 years of experience in an office setting
  • A solid understanding and foundation of accrual bookkeeping, debits and credits, and bank reconciliations
  • The ability to provide full cycle accounting, including, but not limited to, invoicing, payables
  • Prior experience in a fast-paced accounting or bookkeeping position
  • Have fantastic written, and oral communication skills as well as social and well spoken; client service is our number one priority, we need you to be comfortable fielding questions and forming relationships
  • Experience with Cloud Based Accounting Software (Such as Xero, QBO, Sage 50)
  • Familiar with Google Drive, Gmail, Sheets as well as MS Office Word and Excel
  • Willing to learn new software e.g. Tax Cycle and Visual Tax
  • Can work independently and as part of a team, being both a self-starter and able to take direction
  • Seriously well organized
