Position Summary
Note: Internal candidates, as defined by the Full-Time Support Staff Collective Agreement, will be given first consideration.
Duties and Responsibilities
- Provide and initiate administrative support services to enhance the efficiency and level of service provided through the departmental office for the School of Health and Wellness
- Act as a liaison between the Dean and the Chair, students, faculty, and external partners.
- Complete general administrative duties such as scheduling, attending and taking minutes for meetings, attendance and payroll reporting, corporate card reconciliations, creating purchase orders, data/file management, arranging travel bookings, preparing documents and/or reports and coordinating office operations for the department.
- Monitor and record attendance for full and part-time employees and prepare bi-weekly payroll reports.
- Coordinate all matters related to the Dean’s schedule. Ensure that individuals seeing the Dean or Chair are properly screened such that appointments are made when necessary or appropriate referrals made. Prepares and gathers all pertinent information related to appointments being set up.
- Maintains an orderly and welcoming office environment, greets all visitors in a professional manner and assists visitors in locating campus resources and services
- Ensure smooth daily operations of the office by developing, implementing, and maintaining effective and efficient office procedures while also exercising excellent technological skills and by using sound judgement when dealing with the College community, government agencies, and the general public.
- Coordinate and support Program Advisory Committee meetings.
Qualifications
- Two-year postsecondary diploma, or equivalent, preferably within Administrative Assistant, Office Administration or Business Administration. (A copy of educational documents must be submitted with application *** education completed outside of Canada, applicants are required to submit a WES or ICAS with their application).
- Five years of experience as an administrative assistant within an educational setting; must have experience working within a health care environment.
- High level of accuracy, confidentiality, integrity, and tact.
- Must be enthusiastic, positive, and thoughtful with exceptional interpersonal skills as well as excellent written and verbal skills.
- Excellent organizational skills, with demonstrated ability to prioritize work and meet deadlines.
- High level of professionalism to liaise with internal and external stakeholders.
- Proficiency in Microsoft Office including Word, Outlook, Power Point, and Excel.
- Ability to work as a member of a team and the initiative to work independently.
