Job Summary:
The Intake Coordinator plays an essential role for Access2English and the Language Instruction for Newcomers to Canada (LINC) Programs by greeting clients and determining the most appropriate services/programs to meet their needs. The Intake Coordinator will be the welcoming face of English Language Services and the first point of contact, providing guidance and support to clients in determining their eligibility and suitability for the language programs offered. The Intake Coordinator will assist clients in filling out applications and forms and entering client data into databases. The ability to speak a second language, other than English, is an asset for this position.
Your Role:
  • Welcoming new clients to English Language Services, determining program eligibility, and responding to general enquiries via telephone, e-mail, or in-person to discuss available service options.
  • Receiving applications by e-mail and printing them to send to the Program Assistant for Access2English assessment (CALB) and placement.
  • Ensuring client confidentiality, rights, and dignity while using empathy, compassion, and flexibility to provide non-judgmental services.
  • Collecting required client information, assisting clients in completing forms and applications for language services, ensuring documentation is complete, and entering clients’ data into databases.
  • Promoting English language services to other community referral sources.
  • Keeping up-to-date records of clients and relevant statistics required by the Funder.
  • Generating and submitting program data as required by the Funder and the agency.

They should be adaptable, willing to participate in ongoing training and team activities, and committed to meeting the requirements set by funders and the agency.

Getting an Interview – you will be considered if you have:
  • Degree or diploma in social services or a related field, OR a combination of education, training, and/or experience.
  • Completion of Administrative certificate and/or Education courses is an asset.
  • Experience working with people from diverse cultural backgrounds.
  • Experience working in a social services program delivery role, with data entry and data management, in a customer service role, and in generating data reports is an asset.
The Job Requires you to have:
  • Strong knowledge of issues faced by immigrants and refugees in the community, as well as those with language barriers, is essential, since occasional interactions with people in difficult situations may occur
  • Strong computer competency; able to use Microsoft Office 365, Excel, databases, including Correlate, and various virtual meeting platforms such as Webex, Zoom, and Microsoft Teams.
  • Ability to work as a productive member of a collaborative team.
  • Knowledge of culturally safe practices and commitment to justice, equity, diversity and inclusion.
  • Additional language considered an asset.
  • The ability to prioritize, switch tasks, and respond to urgent request within a high level of activity in a busy school environment.
  • Ability to meet with individuals in-person, requiring adherence to health and safety protocols.
  • Ability to work flexible work hours.
  • Ability to sit for long periods.
  • A satisfactory Criminal Records Check is a condition of employment.
