About the Department of Foreign Affairs and Trade
The role of the Department of Foreign Affairs and Trade (DFAT) is to advance the interests of Australia and Australians internationally. This involves strengthening Australia’s security, enhancing Australia’s prosperity, delivering an effective and high quality overseas aid program and helping Australian travellers and Australians overseas. The department provides foreign, trade and development policy advice to the Australian Government. DFAT also works with other Australian government agencies to drive coordination of Australia’s pursuit of global, regional and bilateral interests.

About the Position
Under general direction of the Consul, the Consular/Passports and Corporate Services Officer provides a range of consular, passport and notarial services at the Australian Embassy in Denmark. The position also performs a range of corporate enabling services and provides backup support to the Consular and Corporate Services Officer and Driver and Corporate Services Officer as required.
Key responsibilities of the position include but are not limited to:
  • Provide a range of consular and passport services to Australian citizens in accordance with the Australian Passports Act, including client interviews, preparing documentation and processing applications, checking guarantors, financial transactions, providing advice and managing moderately complex passport casework.
  • Assist managing consular cases, provide on the ground assistance to consular clients, including, but not limited to, prison and hospital visits.
  • Provide notarial services to clients in accordance with legislative requirements and departmental guidelines including witnessing signatures and certifying documents.
  • Assist drafting Crisis Action Plans and Travel Advice for Denmark and countries of accreditation.
  • Develop and maintain strong working relationships with key stakeholders including but not limited to like-minded missions, police, airlines, funeral homes, prisons, and immigration.
  • Assist the Consul and Corporate Services Manager with managing the leases for Embassy properties and annual maintenance and service program.
  • Assist the Research and Executive Officer in managing the acquittal process for the Ambassadors travel including credit card transactions.
  • Develop and maintain Work Health and Safety Risk Registers and provide briefings for new and existing staff on emergency and WHS issues and procedures.
Required Qualifications/Experience
  • Fluency in written and spoken English and the ability to communicate effectively is essential. The ability to communicate in Danish, Norwegian and/or Icelandic would be highly beneficial.
  • Sound interpersonal skills and demonstrated experience working in a client service or similar role.
  • Ability to adapt and respond effectively to challenging and unforeseen events and crises. Experience in crisis management would be an advantage.
  • Capacity to build productive working relationships with a broad range of clients and stakeholders and an ability to assist people facing difficult and sensitive situations.
  • Ability to exercise discretion and judgement, manage competing priorities and work flexibly to meet time sensitive deadlines.
  • The ability to acquire an understanding of the guidelines, policies and legislation governing the provision of consular, passport and notarial services.
  • Sound knowledge of local laws and customs, government agencies, local authorities, and social services.


Selection Criteria

A. Demonstrated ability to perform general administrative or processing activities, interpret and apply legislation and policies.
B. Strong planning and organisational skills and the ability to manage multiple tasks and priorities in a high volume, client-focussed environment.
C. Excellent customer service skills and the ability to exercise good judgement and discretion when managing sensitive information.
D. Strong communication skills in English with the ability to communicate empathically and clearly with people from diverse backgrounds both verbally and in writing.
E. Ability to build relationships and work effectively with other team members in a busy and demanding environment by demonstrating flexibility, adaptability and initiative.
