Job Purpose

The office manager is responsible for managing the GM's schedule, communications, and special projects, while overseeing daily office operations, including supplies, equipment, and filing systems. They handle confidential information, plan and coordinate executive meetings, company visits, and events, ensuring all logistics are in place. Additionally, the office manager acts as the primary liaison between the GM and stakeholders, facilitating communication and collaboration across departments. They also manage expense reporting, prioritize incoming requests, provide general administrative support, and oversee the GM's and office drivers.

What you will do

  • Executive Support:
    • Manage the GM’s calendar, including scheduling meetings, appointments, and travel arrangements.
    • Prepare and edit correspondence, reports, presentations, and other documents.
    • Screen and prioritize incoming communications, including phone calls, emails, and mail.
    • Coordinate and manage special projects as directed by the GM.

  • Office Management:
    • Oversee the day-to-day operations of the GM’s office, ensuring a smooth and efficient workflow.
    • Manage office supplies and equipment, ensuring that all resources are available and in good working condition.
    • Organize and maintain filing systems, both electronic and paper-based if needed.
    • Handle confidential information with the highest level of discretion and integrity.

  • Event Coordination:
    • Plan and coordinate executive meetings, conferences, and other events.
    • Plan and manage company visits including agenda, flight arrangements, accommodation, transportation and all related logistics.
    • Prepare agendas, take meeting minutes, and ensure follow-up on action items.
    • Organize travel arrangements, including itineraries, accommodations, and transportation for the GM.

  • Communication and Liaison:
    • Act as the primary point of contact between the GM and internal/external stakeholders.
    • Facilitate effective communication and collaboration between the GM and other departments.
    • Coordinate with CA&S for internal communications, including announcements and updates.

  • Administrative Support:
    • Handle expense reporting, budgeting, and financial tracking for the GM’s office.
    • Manage and prioritize incoming requests and tasks for the GM.
    • Provide general administrative support, including filing, data entry, and office organization.
    • Manage the GM’s driver and the office driver.

What you will bring to the role

  • University Degree in business related studies
  • 10+ years of relevant work experience.
  • Experience in event coordination and travel management is highly desirable.
  • Flexibility to travel locally or internationally when required
  • Strong organizational and multitasking skills, with the ability to manage multiple priorities and deadlines.
  • Excellent communication and interpersonal skills, both written and verbal.
  • Proficiency in office software, including Microsoft Office Suite (Word, Excel, Power Point, Outlook).
  • Strong problem-solving abilities and attention to details.
  • Ability to handle confidential information with discretion and integrity.
  • Fluent in English is a MUST
