Assistant Manager, Facilities & Administration

Job Responsibilities
Facilities & Building Management
- Ensure compliance with statutory requirements and manage hygiene, safety, and security for all
- Develop and implement maintenance programs to ensure optimal functioning of all facilities, including
- Assist in project management for facility improvement works, including renovations, upgrades, and new
- Identify opportunities for operational improvements and implement best practices to enhance service
- Manage relationships with vendors and service providers, negotiating contracts and ensuring
- Conduct regular inspections of facilities to identify areas for improvement and ensure compliance with
- Prepare and manage budgets for facility management operations, analyzing financial reports to optimize
Central administration
- Oversee daily administrative operations and manage the administrative team with 5 people.
- Develop and implement administrative policies and procedures.
- Manage insurance policy renewals and assess risk areas for additional coverage.
- Monitor vendor & contract management including sourcing, tender process & quality control.
- Manage and control budgets, CAPEX, expenses, and resource allocation on a yearly basis.
- Support the implementation of Oracle ERP procurement system.
- Support events preparation and logistics.
In-kind Donations Management
- Develop, implement and operationalize the end-to-end process for in-kind donations management
donations to maximize the chance of recurring and one-off operational needs being fulfilled.
- Draft and rollout policies and procedures to ensure sustainable and consistent processing of in-kind gifts
- Implement inventory management process to receive, dispatch and track the inventory and manage the
Requirements
- Bachelor’s degree or above in relevant fields or equivalent qualifications
- 5-8 years relevant working experience with 3 years in a managerial or senior supervisory role
- Experience in facilities and building management is a plus.
- Strong communication & reporting skills, with fluency in written and spoken Chinese and English
- Proactive, resourceful, and solution-oriented, with excellent organizational and project management
- Demonstrated ability to lead diverse teams, handle multiple priorities, and deliver under tight deadlines.
