Position Overview:
The Property Services and Executive Assistant will oversee property operations, ensure the efficient maintenance of facilities, and manage relationships with tenants, vendors, and contractors. This role includes lease and income management, renovation projects, and administrative support for both property services and executive functions.

Key Responsibilities:
  • Property Coordination & Income Management:
  • Lease & Income Management: Handle income and lease agreements for assigned properties, ensuring accurate reporting on rental incomes.
  • Renovation Management: Oversee renovation plans for assigned properties, coordinating contractors, timelines, and post-renovation letting management.
  • Energy Upgrades: Manage energy upgrades for designated units, ensuring timely completion and alignment with sustainability goals.
  • Insurance Oversight: Manage all insurance policies and renewals, handling any claims or necessary updates.
  • Invoice & Company Management: Process invoices and handle financial tracking related to property management.
  • General Reporting: Prepare regular reports on property performance, tenant feedback, and facility maintenance.Tenant Relations & Customer Service:
  • Tenant Communication: Act as the primary point of contact for tenants, addressing inquiries, coordinating services, and resolving any concerns.
  • Tenant Onboarding & Move-Outs: Manage tenant move-in and move-out processes, including inspections and coordination with cleaning services.
  • Conflict Resolution: Mediate and resolve conflicts or complaints from tenants in a professional and timely manner, ensuring tenant satisfaction.
  • Executive Support:
  • Personal Assistance: Provide general administrative support to senior executives, including diary management, scheduling, and event planning.
  • Travel & Event Coordination: Assist with executive travel arrangements and company events as needed.
  • Expense & Task Management: Track executive expenses and prioritize tasks to optimize time management.
  • Meeting Preparation: Organize materials and briefing documents for executive meetings.
  • Confidential Correspondence: Manage confidential communication with professionalism and discretion.
  • Marketing Oversight: Monitor and report on company marketing activities, including Linked In, website, and other external communications.
  • Defects & Snags Management:
  • Defect Period Oversight: Oversee post-project defect periods, working with the Contracts Manager on retention sign-off and required repairs.
  • Office Facility Management: Manage office facilities and ensure upkeep, including addressing maintenance requests and coordinating service contractors.
  • Miscellaneous:
  • Special Projects: Support executives with special projects, ensuring timely completion.
  • Continuous Improvement: Seek opportunities for enhancing efficiency in all responsibilities and suggest improvements to property management processes.
Qualifications, Skills & Experience:
  • Experience: Minimum of 2 years in a similar role, ideally with experience in both property services and executive support.
  • Technical Skills: Proficiency in standard software packages (e.g., Microsoft Office Suite) and adaptability to quickly learn company-specific software.
  • Organisational Abilities: Strong initiative, organizational, and time management skills, with a proven ability to handle diverse tasks in property management and executive assistance.
  • Communication: Exceptional written and verbal communication skills, with a professional and personable approach to interacting with tenants, vendors, and executives.
Job Types: Full-time, Permanent
Pay: From €40,000.00 per year
