Business Support Administrator - Fixed Term

We have an opportunity for a Business Support Administrator to provide proactive high quality support to the Nelson T+T team. Are you an experienced administrator who loves variety and being the go-to person? This could be the role for you! This is a full time, fixed term role for 10 months.
Key emphasis for this role will be, assisting the Senior Business Support Coordinator keep the office of approximately 45 people running smoothly, as well as assisting with organising travel and workshops, preparing presentations, collating reports and providing administration support for the team. Experience in formatting Microsoft Word documents is a must!
About the role:
  • Providing administrative support as required, i.e., taking minutes, meeting coordination and management, following up on actions, arranging morning teas, travel arrangements and logistics (booking flights, accommodation, rental cars and taxis) as requested
  • Ensuring that documentation is produced, published, and collated efficiently, provide word processing and proof-reading services, collating/finalising documentation for issue
  • Assist with organising workshops, collating reports and preparing presentations and catering requirements
  • Maintaining good relationships with internal stakeholders
  • Event management logistics and working closely with other Business Services areas across New Zealand,
  • Assist with local Client Functions and Staff Functions
  • Assisting with the preparation of proposals or tender submissions with the Business Support Coordinator
  • Maintaining CV's for the office
  • Assist with the onboarding and offboarding
  • Provide relevant training in T+T templates, etc
  • Developing and sharing communication
  • Providing back up to Reception
  • Provide H+S support to the Business Support Coordinator
  • Provide IT support to the Business Support Coordinator
  • Assist with location suppliers and contractors
We are looking for someone who:
  • A proactive approach, who likes to take initiative!
  • Supportive mindset - someone who is happy to roll up their sleeves and get stuck in
  • A flair for formatting documents and is a MS office superstar/expert
  • Good problem solving skills in Microsoft Word who has used company templates previously
  • Good knowledge and technical strengths in Microsoft Office, Acrobat and Excel, publishing skills, and Sharepoint
  • Excellent communication skills, both written and verbal,
  • Strong organisational and time management skills - someone who likes to tick things off and get things done!
  • Confidence to use judgement and make appropriate decisions
  • Business Acumen
  • 5+ years + experience in a similar role
  • Has a full NZ drivers license
Whilst T+T likes to provide flexible working arrangements, this team does require on-site support for 5 days a week. We're looking for candidates wishing to work 40 hour working week.
