Are you a detail-oriented professional with a passion for information management? The New Plymouth District Council is seeking an experienced Information Management Specialist to join our Digital Enablement Team.

As an Information Management Specialist, you will be responsible for the operational service delivery that ensures the effective management of information, records, and archives at NPDC. Your role will involve maintaining, implementing, and promoting the highest standards of information management to support the Council’s operations.

Tino takohanga Key responsibilities

Supports consolidation, standardisation, and simplified information management (IM) practices
Data quality and relational information improvement particularly for property and land information
Provide IM advice to management and staff and build strong relationships across NPDC businesses and other stakeholders
Assist in developing and maintaining procedures to standardise practices and ensure continuous process improvement
Maintenance and capture of information and archives data in management systems and other reference sources to maintain high standards of access
Resolving information requests (including LGOIMA and property microfiche rescans), and other items into NPDC business systems to facilitate timely access and retrieval for business processes and statutory activities
Digitisation of identified record series e.g. property files and other records
Undertake records transfers from active business use into archives and/or short-term storage
Apply requirements of privacy and copyright laws to all information requests and activities
IM audit and compliance programme support activities
Operational IM tasks as required
Create, use and maintain knowledge documentation and articles relevant to supporting the Delivery team as well as the wider team
Physical records and archives filing, classification, listing, storage, retrieval
Rostered team support for inwards mail processing and civic stationery – distribution and control, liaising with external providers.

Ngā tino pūkenga me ngā wheako Essential skills and experience

Relevant qualification in information management or related discipline/s or 2 years’ experience in local government information and/or archives management environment
Knowledge of archives and information management standards and systems
Strong digital background or skills that includes knowledge of Microsoft products such as Share Point, Visio, Word, and Excel
Familiarity with search tools (Tech One ECM) and other systems used in managing NPDC’s information and data assets (e.g. Tech One Property & Rating, Miles 2 etc.)
Actively seeks out current trends and practices that support NPDC’s information management maturity
Proven ability to produce a high standard of work to tight deadlines whilst handling multiple priorities
Full driver’s licence (+ defensive driving course)
