Executive Assistant to CEO

Lagos

JOB Title: Executive Assistant
Reporting: CEO
Location: Lagos State

Work Mode: Hybrid
WORK SCHEDULE:
  • Full-time; up to 10 hours per day, Monday through Friday, 6AM to 4PM EST. Must have flexibility to work and take meetings on East Coast Time, which may fall outside of normal hours.
  • Availability to work on Sundays for 5 hours may be needed (on average, once per month)
ABOUT CLIENT: Our client, a holding company, is a diversified company that manages five distinct business ventures. These include;
  • Rentals: Manages short-term rentals on platforms like Airbnb, VRBO, Peerspace, and Turo. This includes hourly rental studio space, short-term rental homes, and cars.
  • Services: Provides consulting services, primarily fractional COO and legal assistance, to startup and small business clients.
  • Custom Quo: A digital tailoring service offering custom clothing orders made in Nigeria.
  • Superhost: The property management arm that manages the properties of clients/third parties
  • Fictive Ventures - A venture capital fund dedicated to investing in US-based, Black-led technology startups.
JOB RESPONSIBILITIES:
1. General Administrative Support

  • Assist with special projects, ensuring timely completion and quality output.
  • Compose and prepare correspondence, including emails, letters, and memos.
  • Maintain updated and accurate contact lists.
  • Make detailed travel arrangements, including flights, accommodations, and itineraries.
  • Provide administrative assistance, including writing and editing e-mails and preparing communications on the CEO’s behalf.
  • Copy edit and assist with administrative tasks related to the publication of written work.
  • Maintain comprehensive and accurate records for personal projects, tasks, and business.
  • Organize meetings, schedule appointments, send reminders, and organize catering when necessary.
  • Manage the CEO’s personal calendar, prioritizing sensitive matters and appointments.
  • Secure and manage contractors and vendors for personal tasks, including home cleaning and improvement.
  • Plan and coordinate events the CEO hosts or participates in, including logistics and guest management.
  • In conjunction with the Chief of Staff, update and maintain the CEO’s personal website hosted on Squarespace.
  • In conjunction with the Chief of Staff, assist to manage and maintain the CEO’s social media presence on platforms like Instagram, Twitter, Linked In, Tik Tok, Fanbase, and Pinterest, in collaboration with the social media manager.
  • Organize, create listings, and manage shipments for second-hand items.
  • Assist with personal gifting, ensuring thoughtful and timely delivery.
  • Help with administrative and communication tasks related to managing personal investments, including Airbnb and Turo rentals.
  • Manage professional and personal bill payments for the CEO, ensuring timely and accurate processing.
  • Perform additional duties as assigned to support the CEO’s lifestyle and work, including but not limited to managing her calendar, booking flights, making reservations, handling inquiries, following up on tasks, managing logistics and courier challenges, and engaging in third-party conversations related to these activities.
2. Services Support
  • Project Assistance: Assist with special projects, ensuring alignment with business goals.
  • Client Portal Management: Maintain client portals and information, ensuring up-to-date and accessible records.
  • Content Capture: Help capture content for business marketing purposes, ensuring high-quality and relevant materials.
  • Consulting Agreements: Complete consulting agreements, ensuring compliance with company standards.
3. Custom Quo Support
  • Package Management: Receive packages on behalf of the company, ensuring proper handling and distribution.
  • Equipment Distribution: Organize the distribution of equipment to the team in Nigeria, ensuring timely delivery and tracking.
  • Materials and Supplies: Organize business materials and supplies, ensuring adequate inventory levels.
  • Inventory Management: Manage inventory, ensuring timely restocking of supplies.
  • Production Coordination: Coordinate with the production team to ensure timely delivery of custom orders.
  • Customer Service: Handle customer inquiries and provide excellent customer service, ensuring satisfaction and issue resolution.
  • Supplier Relationships: Develop and maintain relationships with suppliers and vendors, ensuring reliable and cost-effective sourcing.
4. Rentals Support
  • Property Management Materials: Build and maintain materials and procedures for the property management business, ensuring clarity and usability.
  • Social Media Management: Help manage business-related social media presence on platforms like Instagram, Twitter, Linked In, Tik Tok, Fanbase, and Pinterest, in collaboration with the social media manager.
  • Client and Guest Communications: Work with the Rentals team to ensure smooth client and guest communications.
  • Knowledge Base Maintenance: Maintain and update the team knowledge base in Notion, ensuring accurate and accessible information.
  • CRM Management: Ensure accurate customer and order information is entered into the Rentals CRM system.
  • Process Documentation: Create process documentation to guide rental setup andmanagement processes, ensuring consistency and efficiency.
  • Process Improvement: Improve Rentals processes for efficiency, cost-savings, and customer satisfaction.
  • Marketing Strategies: Develop marketing strategies to promote rental properties, ensuring effective outreach and engagement.
  • Property Maintenance Coordination: Coordinate property maintenance and repair activities, ensuring timely and quality work.
  • Other Tasks: Perform other work as necessary to improve Rentals business and processes.
5. Superhost Support - (In conjunction with the Superhost team)
  • Client Communication: Act as the primary point of contact for clients, addressing inquiries, providing updates, and ensuring exceptional customer service.
  • Property Management Coordination: Assist in coordinating property maintenance, repairs, and inspections by liaising with service providers and ensuring timely completion.
  • Scheduling and Calendar Management: Organize and manage schedules for property viewings, client meetings, and team activities.
  • Administrative Support: Handle administrative tasks such as preparing any needed reports, managing documentation of clients, and maintaining records related to property management.
6. Fictive Ventures (In conjunction with the Chief of Staff)
  • Preliminary Investor Relations: Facilitate communication between investors and the company/CEO, including scheduling meetings, preparing materials, and handling enquiries.
  • Startup Outreach: Assist in identifying and reaching out to potential Black-led technology startups for investment opportunities.
  • Event Coordination: Organize events, such as pitch meetings, networking sessions, and industry conferences, to support the startup ecosystem plus sourcing for investment opportunities for the company/CEO.
  • Administrative Support: Manage documentation, prepare reports, and maintain records related to investments and portfolio management.
REQUIRED EXPERIENCE
  • Minimum of 5 years experience in supporting executive professionals
  • 2+ years of experience managing teams
  • Experience in administrative work
  • Knowledge of Instagram, Twitter, Tik Tok, Pinterest, Google Meets, Zoom, Linked In, Fanbase, and other social media platforms
  • Strong knowledge of Google Suite, including Google Documents
  • Strong knowledge of Microsoft Office suite
  • Extensive familiarity with Canva is required!
  • Experience with Notion - project management tool
  • Experience with Squarespace is a plus!
