Job Description:
1. Greet visitors, answer phone calls, and respond to emails in a professional manner.
2. Coordinate office activities, including meetings, appointments, and events.
3. Organize and maintain physical and electronic files and records.
4. Prepare and edit documents, reports, and presentations as needed.
5. Serve as a point of contact between the organization and clients, vendors, or other stakeholders.
6. Draft and proofread correspondence, emails, and other written materials.
7. Schedule and coordinate appointments, meetings, and travel arrangements for team members.
8. Manage calendars and send reminders for upcoming events or deadlines.
9. Enter and update data in databases or spreadsheets.
10. Maintain accurate and up-to-date records of various office-related information.
11. Monitor and replenish office supplies as needed.
12. Coordinate maintenance and repairs for office equipment.
13. Prepare meeting agendas, take minutes, and distribute meeting materials.
14. Set up and organize meeting rooms, including audiovisual equipment.
15. Assist with special projects, research, or initiatives as assigned by management.
16. Contribute to process improvements and efficiency in administrative tasks.
17. Make travel arrangements for team members, including booking flights, hotels, and transportation.
18. Prepare travel itineraries and ensure all necessary documentation is in order.
19. Handle sensitive and confidential information with discretion and integrity.
20. Maintain a high level of confidentiality in all interactions.
Qualifications:
1. Bachelor's degree in Business Administration, Management, or a related field.
2. Proven experience as an administrative assistant or in a similar role.
3. Proficient in office software .
4. Strong organizational and multitasking skills.
5. Excellent written and verbal communication skills.
6. Attention to detail and accuracy in completing tasks.
