Administrative Assistant for VP Academic- URGENT!

Job Summary:
Provide administrative support to the VPAA in handling academic operations, student-related matters, and faculty management. This position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism, integrity and confidentiality. He/she will be directly responsible for document flow and management, internal and external communication and day to day office administration.
He/she maintains a current knowledge of appropriate college and academic policies, processes and procedures in an effort to assure efficiency and integrity of the office. He/she serves as primary point of operational and administrative contact for internal and external constituencies related to student academic affairs, often on complex and confidential
issues.
Primary Responsibilities:
- Acts as a primary liaison for the VP for Academic Affairs for a range of internal staff and external stakeholders
- Provides effective and efficient administrative support to the VPAA including but not limited to calendar, document and database management (e.g.: organizes and updates documents on academic operating procedures, presentations, etc.)
- Proposes, implements, and collects ideas for streamlining administrative processes and ensure the smooth flow of administrative and logistical operations and requirements
- Assists with the coordination and organization of internal and external events or special projects
- Conducts research, collects, analyzes and synthesizes data to prepare reports and documents
- Arranges and coordinates meetings
- Records, transcribes and distributes minutes of meetings
- Assists in developing, monitoring, screening, responding to and disseminating communications
- Ensures the efficient handling, disposition, dissemination, and smooth flow of incoming and outgoing documents and information requests
- Monitors, flags, and follows-up action items as needed
- Maintains professional and technical knowledge by attending educational workshops, reviewing professional publications, and establishing professional networks.
- Performs any other duties as may be required
- Strong organizational skills; can multitask; ability to manage priorities and workload within general schedule of work, instructions and standardized practices
- Ability to foresee response and implication of own outputs, and to undertake tasks efficiently
- Ability to respond with appropriate levels of urgency to situations and events that require quick response or turnaround
- Trustworthy; Able to maintain a high level of integrity, professionalism and discretion in handling confidential information
- Very good oral and written communication skills
- Can work with minimal supervision
- Attention to detail
- Strong interpersonal skills
- Experience working with academic affairs and students
- Possesses research skills
- Proficiency with Microsoft Office and Google Workspace applications
- Preferably with knowledge in desktop publishing software; ability to design and edit graphic presentations and materials.
Pay: Php15,000.00 - Php18,000.00 per month
Schedule:
- 8 hour shift
- Monday to Friday
- 13th month salary
- Quezon City: Reliably commute or planning to relocate before starting work (Preferred)
