Data Entry Specialist (ServiceM8 Experience Required)

Job Requirements:
  • 2.5+ years of proven experience as a Data Entry Specialist or in a similar administrative role.
  • Strong organizational skills and attention to detail.
  • Proficiency in digital communication tools (Whats App, Service M8, calendar applications). Strong verbal and written communication skills.
  • Ability to work independently and manage multiple tasks efficiently.
  • Previous experience in operations or coordination roles is a plus.
Core responsibilities:
  • Scheduling and Coordination: Update the team calendar to reflect any changes or new appointments.
  • Organize and manage tasks in Service M8 to ensure seamless communication and job tracking.
  • Maintain a staff availability spreadsheet and advise on any clashes to ensure optimal scheduling.
  • Collaborate with Lea-Anne to check for any updates or changes in job assignments.
  • Confirm individual assignments by checking availability on Service M8 and the calendar.
  • Ensure that all changes are accurately reflected in Service M8, the calendar, and printed job schedules.
  • Review and respond to any important emails that may impact scheduling or team communication.
  • Documentation and Information Management: Perform data entry for quotes ensuring accuracy and consistency.
  • Check if any jobs have been canceled and update their status to "unsuccessful.
  • Convert notes into PDF quotes for each job and distribute as needed. Send each supplier a weekly summary of the schedule once confirmed.
  • Cross-check E&Q documents to ensure they are sent out on time.
  • Organize and maintain accurate client information across all interfaces (Whats App, shared calendar, Service M8, and correspondence with suppliers).
  • Perform general data entry into templates as needed to ensure accuracy and consistency.
  • Whats App Management: Prepare Whats App messages and updates for the week. Send out Whats App jobs for the week to all relevant team members.
  • Send client confirmation texts to ensure all parties are informed.
  • Add team members to jobs only after receiving confirmation of their availability through Whats App groups.
  • Send removalists a summary of jobs for the week via Whats App.
  • Continuous Improvement: Actively participate in the evolution and improvement of processes.
  • Provide feedback and suggestions on current practices to enhance efficiency and effectiveness.
