Executive Assistant to the General Manager - Bilingual

We are seeking a highly organized and proactive Executive Assistant to support the General Manager of Sany Philippines. The ideal candidate will be bilingual, fluent in both Mandarin and Tagalog, with a strong ability to manage administrative tasks, facilitate communication, and assist in day-to-day operations. As the EA to the GM, you will play a key role in ensuring the smooth execution of business processes, acting as a reliable point of contact between the General Manager, internal teams, and external stakeholders.
Key Responsibilities:
  • Administrative Support: Manage the General Manager’s calendar, coordinate meetings, prepare agendas, and organize travel arrangements.
  • Communication Management: Handle phone calls, emails, and correspondence on behalf of the General Manager in Mandarin, Tagalog, and English. Act as the first point of contact for internal and external inquiries.
  • Document Preparation: Prepare, translate, and edit documents, reports, and presentations in Mandarin, Tagalog, and English. Ensure all materials are accurate and delivered promptly.
  • Meeting Coordination: Schedule, organize, and attend meetings, ensuring minutes are taken and follow-up actions are tracked and executed.
  • Project Assistance: Assist the General Manager in monitoring project timelines, updating progress reports, and ensuring deadlines are met.
  • Stakeholder Liaison: Act as a liaison between the General Manager and other departments, clients, and external partners. Handle confidential information with discretion.
  • Business Support: Assist in preparing business reports, conducting market research, and analyzing data to support decision-making processes.
  • Event Coordination: Assist in planning and executing company events, meetings, and conferences as required.
  • Multilingual Support: Provide language support by translating key documents and facilitating communication between Mandarin, Tagalog, and English-speaking stakeholders.
  • Office Coordination: Ensure the office runs smoothly by managing office supplies, overseeing equipment maintenance, and coordinating with vendors when necessary.
Requirements:
  • Fluency in Mandarin, Tagalog, and English (both spoken and written).
  • Proven experience as an Executive Assistant or in a similar administrative role, preferably in a multinational environment.
  • Strong organizational and time management skills with the ability to prioritize tasks effectively.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with all levels of management.
  • Proficiency in Microsoft Office Suite (Word, Excel, Power Point) and other business management software.
  • Ability to multitask and work in a fast-paced environment.
  • Problem-solving skills and the ability to anticipate the needs of the General Manager.
  • Bachelor's degree preferred.
Job Type: Full-time
Pay: Php50,000.00 - Php100,000.00 per month
