GENERAL DESCRIPTION
The Executive Officer (Expatriate Affairs and Mobility) is responsible for overseeing the expatriate support functions within the organization. This role involves managing expatriate relocations, ensuring smooth transitions, coordinating visa and immigration processes, and providing comprehensive support for expatriates and their families. The position also includes office management responsibilities to ensure a productive and well-maintained work environment.
DUTIES AND RESPONSIBILITIES
Visa and Immigration Processing:
Pay: From Php30,000.00 per month

The Executive Officer (Expatriate Affairs and Mobility) is responsible for overseeing the expatriate support functions within the organization. This role involves managing expatriate relocations, ensuring smooth transitions, coordinating visa and immigration processes, and providing comprehensive support for expatriates and their families. The position also includes office management responsibilities to ensure a productive and well-maintained work environment.
DUTIES AND RESPONSIBILITIES
Visa and Immigration Processing:
- Coordinate and manage the visa and work permit application process for new hires, existing employees, and their dependents.
- Handling/processing of visa extension, DOLE Alien Employment Permit (AEP) and PH working visa especially on 9g Working Visa in a corporate setting.
- Can work closely with 3rd party agencies to provide advice on the DOLE/immigration requirements that an employee must meet to secure working visa.
- Prepare and review visa application documents to ensure they meet the requirements of immigration authorities.
- Track visa application progress and communicate with government agencies to resolve any issues or delays.
- Ensure that all visa and immigration-related activities comply with current laws and regulations.
- Maintain accurate records of visa statuses, expiration dates, and renewal requirements.
- Monitor changes in immigration laws and update policies and procedures as necessary.
- Provide guidance and support to employees regarding visa-related matters, including application procedures, documentation requirements, and compliance issues.
- Address and resolve any questions or concerns employees may have about their visa status or work authorization.
- Prepare reports on visa and immigration matters for HR and Executives.
- Analyze trends and data related to visa processing to identify potential areas for improvement.
- Assist in the coordination of expatriate relocations, including arranging travel, housing, and settling-in services.
- Liaise with relocation service providers to ensure timely and efficient relocation processes.
- Manage day-to-day administrative tasks for expatriates, including calendar management, appointment scheduling, and correspondence.
- Prepare and maintain documentation related to expatriate assignments, such as visas, work permits, and compliance documents.
- Facilitate the onboarding process for expatriates, including arranging orientation sessions and providing information about the new location.
- Assist expatriates with understanding local customs, regulations, and practical matters such as banking, healthcare, and schooling for their children.
- Arrange and coordinate business trips for expatriates, including travel, accommodation, and meeting schedules.
- Ensure timely and efficient arrangements for arrivals and departures of expatriates.
- Organize and manage meetings related to expatriate affairs.
- Oversee daily operations and management of the office within the BGC unit.
- Handle office supplies, equipment maintenance, and ensure a productive work environment.
- Liaise with facility management for any office-related issues or improvements.
- Manage accommodations for expatriates, including maintenance of units and addressing any issues related to checks, agreements, repairs, and replacements.
- Ensure all properties are maintained to a high standard and resolve any issues promptly.
- Facilitate medical insurance enrollment for expatriates and their families.
- Schedule and coordinate medical consultations and manage related documentation.
- Arrange and manage cleaning services, babysitters, and helpers as requested by expatriates.
- Ensure service providers meet the organization’s standards and address any concerns promptly.
- Provide ongoing administrative support to expatriates during their assignment, addressing any issues or concerns that may arise.
- Act as a point of contact for expatriates, responding to inquiries and providing assistance as needed.
- Bachelor’s degree in Human Resources, Business Administration, Law, or a related field. Certifications in immigration law or HR are advantageous.
- Preferably with familiarity with the basic rules & regulations of the Philippine Labor Laws & Industrial Relations procedure;
- Knows the DOLE procedure concerning AEP, Immigration DOLE procedure 9G Working Visa.
- In-depth knowledge of immigration laws, regulations, and procedures.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- High level of attention to detail and accuracy.
- Proficiency in HR management software and relevant computer applications
- Ability to handle sensitive and confidential information with discretion.
- Problem-solving skills and ability to work under pressure.
Pay: From Php30,000.00 per month
Schedule:
- 8 hour shift
- 13th month salary
- Overtime pay
- Performance bonus
- Quarterly bonus
- executive assistant: 2 years (Preferred)
- AEP Permit and 9G working cisa: 1 year (Preferred)
