PURPOSE OF THE POSITION:
Carries out general administrative duties to ensure that all seafarers have completed pre-employment medical examinations and certificated in accordance with national, international and Principal’s standards and that they are deployed in a timely manner. Serves as the primary resource person on all medical / health related issues between the medical clinic, the seafarer and the company on all post-medical procedures of seafarers.
RESPONSIBILITIES & AUTHORITIES:
1. Closely coordinates with the Crew Operators in the issuance of medical referrals for all seafarer applicants approved by the Principal;
2. Encodes crew medical details in SOCS;
3. Transmits to the medical clinic the list of seafarer applicants who were issued medical referrals on a daily basis;
4. Communicates with the seafarer to ensure that PEME is taken based on the agreed timeline;
5. Monitors both with the medical clinic and the seafarer to ascertain that all procedures are completed;
6. Regularly updates Crew Operator of the seafarer’s level of readiness / completeness on all medical / laboratory examinations taken;
7. Verifies validity and completeness of PEME medical certificates issued to include those needed for flag documents processing and monitors submission within set timeline;
8. Evaluates the physical well-being of the seafarer based on medical history, age and clinic’s remarks and in cases of findings, shall raise concerns to notify his/her supervisor;
9. Helps evaluate the physical well-being of the seafarer based on medical history, age and clinic’s remarks;
10. Reviews and validates all medical prescriptions issued by the medical clinic to the seafarer on medicines to be taken onboard;
11. Verifies that seafarers with conditional fitness for work (under medication) have purchased and taken the adequate quantities of medicines for their intended service plus one month before their departure from Philippines.
12. Prepares ATD (Authority to Deduct) for crew’s signature on all medicines purchased;
13. Serves as an alternate PDOS speaker to discuss Personal Health & Safety module;
14. Reviews all billing statements from medical clinic to ascertain accuracy;
15. Helps determine the seafarer’s eligibility for any specific medical needs on all post medical treatments / procedures;
16. Closely coordinates with the Crew Claims & Quality Manager on all medical claims, as needed;
17. Prepares summary report on all crew declared as Fit to Work (Class A) and those requiring continuous medication onboard;
18. Formulates ideas to improve work processes within and outside work scope;
19. Establishes and maintains meaningful business relationships with both internal and external customers to facilitate effective and efficient delivery of services;
20. Maintains harmonious and professional working relationship within the department and with other members of the organization through participation and contribution to team activities and processes;
21. Takes an active role in project teams or group activities to ensure meeting goals and objectives;
22. Demonstrates unquestionable integrity and honesty in all dealings with both internal and external partners / customers;
23. Complies with government legislations and company policies;
24. Shall serve as the company’s Health & Safety Committee representative
25. Performs work within the standards of the company’s Quality Management System.
26. Conducts relevant medical training as required by the Principal.
27. Other task functions or participates in ad hoc projects as may be assigned from time to time.
