Job Summary: The Secretary provides administrative support to ensure efficient operation of the office. This role involves handling a wide variety of administrative and clerical tasks to support management and staff, including scheduling appointments, preparing documents, managing communication, and maintaining files. The ideal candidate is organized, detail-oriented, and possesses excellent communication and time management skills.
Key Responsibilities:
- Administrative Support: Perform general office duties such as answering phone calls, managing emails, handling correspondence, and greeting visitors.
- Scheduling & Coordination: Organize and schedule meetings, appointments, and events. Prepare and distribute meeting agendas, take minutes, and follow up on action items.
- Document Preparation: Prepare reports, presentations, and other documents as required. Maintain and update office records and ensure proper filing.
- Communication Management: Serve as a liaison between staff, clients, and other stakeholders. Handle inquiries professionally and promptly.
- File Management: Organize and maintain physical and electronic files, ensuring that documents are easily accessible and secure.
- Office Supplies Management: Monitor office supplies and place orders as necessary to ensure an adequate inventory.
- Travel Arrangements: Arrange travel accommodations and prepare itineraries for staff members as needed.
- Confidentiality: Handle sensitive information with the utmost confidentiality and discretion.
- High school diploma or equivalent; additional qualifications as an Administrative Assistant or Secretary are a plus.
- Proven experience as a Secretary or in a similar administrative role.
- Proficiency in Microsoft Office Suite (Word, Excel, Power Point, Outlook) and office management software.
- Excellent written and verbal communication skills.
- Strong organizational and time-management abilities.
- Attention to detail and problem-solving skills.
- Ability to work independently and prioritize tasks effectively.

Job Type: Full-time
Pay: Php15,000.00 - Php20,000.00 per month
