Overseas Sales Admin Manager

The Overseas Sales Admin Manager will manage the sales admin staff and report to the Inside
Sales Manager. The Sales Admins are a critical function of the sales organization and primarily
handle the order entry, order processing, virtual entry and sample entry on behalf of the sales
team. The Sales Admin Manager would need to oversee the day to day of our admin team,
troubleshoot issues, and spot opportunities for training, retraining to reduce error rate and TAT,
and improving processes to increase output and speed up workflows, with the ultimate goal of
driving revenue in the Pop! Promos Sales channel.
Accountable for:
● LMA Sales Admin staff (currently 8 PPL)
○ Hold 1-1’s, provide feedback to admin staff, host quarterly conversations and
provide career pathing if applicable
○ Funnel communication from sales team → admins
■ Sit in on AE & SS L10s weekly - take to dos
○ Provide KPIs and monitor attainment towards goals each week
■ Monitor and update lead mining sheet, monitor standard and prospecting
virtual queues
○ Build out capacity reporting for current sales admin staff and help to identify
future staffing needs
● Facilitate onboarding
○ Create new training materials for the admin team, maintain existing training
materials and update as necessary. Track admins progress to onboarding into
new tasks and delegated work, provide updates to ISM when admin staff is
trained up on new task
○ Review errors and provide retraining where necessary
● Review TAT reporting
○ Provide high level weekly summary to ISM with opportunities for improvement
■ Both at admin level and broader across the team (automation, TAT
reduction, process improvements) and delegation of responsibilities from
AE/SS to admin staff
○ Check daily trackers to confirm right mix of work per admin
■ Ex: dedicated admins are focused on dedicated work, pool is focused on
pool, work is distributed evenly
○ Spot opportunities for cross-training with the pricing team and other admins
Experience:
● Minimum 5+ years experience managing and building out an admin team of 10+ staff
● College Degree
● Experienced in drawing conclusions and spotting trends using data reporting
● Ability to pull and sort reporting
Skills:
● Intermediate Excel skills - ability to manipulate large data sets with pivot tables, ability to
build intermediate complexity formulas, V Lookup, H Lookup.
● Analytical mindset: experience cleaning data from multiple sources for analysis.
● Experience using CRM System (similar to Sugar, such as Hubspot, Sales Force, Oracle)
● Fluent in English, strong written and verbal communication skills
● Proficient in Google Suite (Gmail & Google Sheets in particular)
● Experience getting a team to follow operational processes, identify and implement
process improvements
Job Types: Full-time, Permanent
Pay: Up to Php35,000.00 per month
