Grace Church Family

Church Administrator

Banchory

PART TIME

September 2, 2024

We are looking to recruit an Administrator to support the work of our charity, including our various Deeside Compassion support services.
Background
Our church plant is based in Banchory, Aberdeenshire, and although small, we are an incredibly active church. We already have 4 part time staff working for us, largely in our compassion ministries, which support hundreds of people in our local community each month.
The aim of the Deeside Compassion branch of our charity is to see the lives of those who are struggling because of disadvantage improved, not just through meeting their immediate needs but by creating pathways to independence.
We want to bring hope in desperate situations, helping people to overcome the underlying issues contributing to their situation. As such we encourage clients of Deeside Compassion to engage with a range of wrap around services offered by the charity, including our innovative Restart Social Supermarket programme and various support groups.
In addition to our Deeside Compassion programmes, we also run a number of faith-based activities, including Sunday gatherings, mid-week small groups, outreach programmes and other events.
The Role
The role of our Administrator will be to support the work of the charity, providing administrative and practical support to the staff team as required.
Among other duties, the role will involve:
  • Handling email, phone, & social media communications
  • Maintaining charity databases
  • Co-ordinating registrations & applications
  • Processing volunteer disclosures
  • Preparing staff & volunteer rotas
  • Preparing funding applications & grant reports
  • Liaising with suppliers
  • Recording cash donations
  • Assisting with book-keeping
  • Assisting with Gift Aid claims
  • Assisting with payroll & pension submissions
  • Maintaining copyright licences & reports
  • Handling insurance renewals
  • Preparing trustees minutes
  • Helping to co-ordinate groups & events
  • Purchasing food & disposables for groups
  • Assisting with the cleaning & maintenance of facilities
  • Participating in staff meetings, groups, and gatherings as required
The Administrator will report to the Senior Pastor as their line manager on a regular basis. Participation in staff team meetings, training, and in other settings will also be expected.
Requirements
The successful candidate will need to meet the following requirements:
  • be willing to respect and support the beliefs of the charity
  • be prepared to actively engage with the church family
  • demonstrate genuine empathy for those who are struggling
  • good organisational and logistical skills
  • general IT skills (enough to be able to use programmes such as office & online content)
  • a successful PVG check
Other Expectations
As a church we expect that our employees will support our vision, work towards our priorities, and reflect the culture we are seeking to promote. Part of this involves a willingness to join our Sunday gatherings.
Our vision is to be a growing church family, which is passionately committed to pursuing God's presence, and to carrying His Kingdom into our community and beyond.
In order to fulfil our vision we currently have 3 main priorities as a church. Those are worship, compassion, and outreach.
The culture we want to see reflected in our staff and leaders is one where we:
  • honour God and others
  • demonstrate servant leadership
  • follow the lead of the Holy Spirit and the guidance of those in leadership
  • give of our heart, time, energy, and resources to the work of the kingdom
Job Details
The role is offered on a part time basis for 14 hours (equivalent to 2 days) per week. The starting salary will be £12 per hour (£8,736 p.a. - equivalent to £21,840 p.a. full time) with 8 weeks paid holiday per year.
A 3% pension contribution by the charity will also be available, where the employee contributes 5% of gross salary.
Working patterns will vary but it is expected that most working hours will fall between 9am and 5pm on weekdays.
