JOB OVERVIEW
The Specialist, Special Events QC is responsible for the successful execution and logistics of the Souper de la Jonquille of Quebec City and the Gala des Grands Chefs of Montreal. Reporting to the Senior Manager, Special Event, the Specialist will work closely with a variety of internal and external teams to ensure synergies and success for all events with volunteer’s committees, partners, sponsors and vendors. This includes maximizing revenue through building relationships with the business community and creating significant events demonstrating the impact of their contribution to changing the future of cancer.
WHAT YOU’LL BE DOING:
This position is responsible to work with leadership volunteers committee for helping to execute the developed business plans and logistics for the Souper de la Jonquille of Quebec City. This position is also responsible to coordinate the Gala des Grands Chefs of Montreal. There will be close interaction with staff members, donors, vendors and volunteers to ensure that all logistical components of the events are established, implemented and executed on time and within budget.
Logistics Management
  • On-going management of objectives, revenue and expense goals to make sure we are on track and to alert management to any risks.
  • Executes and ensures the critical path deadlines are met.
  • Creates, updates and maintains all tracking documents pertaining to the event including tables/tickets sales, sponsors, donations, budget, run of show, etc.
  • Assists committees with meeting minutes and tracking deliverables from internal teams.
  • Coordinate contracts with suppliers, sponsors and other partners.
  • Develops, analyzes and reports on monthly progress towards goals.'
  • Recording and processing donations, sponsorship, gifts in kind and other revenues and records in database and CRM.
  • Create and constant updating of the coordination guide and the run of show documents
  • Reviewing and updating existing operational documentations
  • Steward corporate and individual donors, pre and post events
  • Assists volunteer committee members as well as sponsors partners.
  • Coordinating and facilitating meeting with relevant team members across the organization to ensure they are clear on deliverables, responsibilities and timelines.
  • Work closely with internal leadership teams to develop and implement the marketing, advertising, and social media plans for all events.
  • Building strong working relationships with team members, vendors, donors.
  • Support Bal de la Jonquille event logistic tasks.
  • Other duties as assigned.


EDUCATION & QUALIFICATIONS:

  • Experience organizing and executing large scale events.
  • Strong project management skills.
  • Network and relationship in the business community of Quebec City and Montreal
  • Proven ability to interact with senior level business and community leaders. An understanding of the local philanthropic community would be beneficial.
  • Superior verbal and written communication skills and proven interpersonal skills, including presentation and facilitation skills.
  • Demonstrated ability to exercise sound judgement and maturity in dealings with a variety of constituents.
  • Working knowledge of Salesforce is considered an asset.
  • Proven ability to work under pressure and meet deadlines.
  • Strong organizational skills and attention to detail.
  • Strong organization and problem-solving skills, with proven ability to be resourceful and creative.
  • Strong technical skills with high level of familiarity with online platforms
  • Ability to represent CCS with a polished, positive, and professional demeanor and attitude at all times.
  • Three to five years’ experience in conducting special events, revenue development or related field or equivalent combination of education and experience.
  • Ability to work a flexible schedule, including evenings and weekends and to travel to attend meetings, workshops.
