Executive Business Manager for Supervisory Board

Meeting Coordination: Schedule and organise meetings, manage agendas, and handle logistics such as venue booking, AV setup, meeting materials, catering, and travel for participants.

Communication Management: Facilitate communication among the Supervisory Board, Board of Directors, and executive team, ensuring effective communication and information flow. Draft, edit, and manage sensitive correspondence with discretion and integrity.

Document Management: Support the preparation, formatting, and review of official documents, reports, and presentations. Maintain accurate records of board meetings following corporate governance standards.

Compliance and Governance: Ensure all activities follow board policies and comply with corporate governance regulations.

Event Coordination: Plan and coordinate board-related events, such as quarterly meetings, retreats, strategy sessions, and other internal or external engagements.

Executive Support: Arrange complex travel itineraries, including international travel, ensuring efficiency and cost-effectiveness. Manage executive calendars, balancing priorities and time-sensitive commitments. Assist with special projects involving research, analysis, and reporting as assigned by the Supervisory Board, Board of Directors, or executive management.

Bachelor’s degree in Business Administration, Communications or a related field.

Experience:
-
7+ years of experience in a comparable role (experience with boards of directors or supervisory boards ideally).

Organisational Skills to prioritise multiple tasks.

Strong written communication skills with a professional demeanour.

Attention to Detail especially in document management and communications.

Discretion to handle sensitive information.

Problem-Solving to anticipate needs.

Able to build relationships across all levels of our organisation.

Adaptability to shifting priorities and unexpected adjustments.

Fluent in oral and written business English.

Additional Requirements:

Flexibility to adjust working hours to support the schedules of board members.

Available to travel occasionally for meetings and events.
