HR/Payroll Administrator

Key Responsibilities
- Scheduling & Appointments: Organise and prioritise appointments with HR colleagues and third parties, making adjustments as necessary and confirming changes.
- Documentation & Data Processing: Prepare and manage clear, accurate HR documents and correspondence (employment contracts, confirmations, reports). Respond to queries from managers and staff, providing information or referrals as needed.
- External Liaison: Coordinate with external bodies on tax, labour law, and pension matters. Ensure timely and accurate processing in HR and payroll systems, conducting final checks and verifying correct deductions and salary payments.
- HR File Management: Maintain and monitor HR files and data systems for accuracy and completeness to ensure reliability.
- Sickness & Recovery Notifications: Process administrative data related to sickness and recovery.
- International Staffing Support: Arrange secondments for international staff, managing visas, accommodation, banking, and other needs in line with company and labour guidelines.
- Invoice Review: Review and approve quotations and invoices from suppliers.
- Employee Lifecycle Administration: Manage all administrative tasks related to employee onboarding, changes, and departures.
- Audit Support: Provide information and documentation for internal and external audits.
- Policy Implementation: Update systems to reflect new laws, regulations, and agreements, ensuring accuracy.
- Transport Requests: Administer employee transport requests.
- Data Reporting: Compile and prepare reports (e.g., UK HR reports, training plans) and analyse anomalies, investigating causes and potential solutions.
- Employee Communications: Inform employees of relevant HR updates and post announcements on the intranet.
- Health & Safety Compliance: Adhere to health and safety protocols, report incidents, and discuss any safety concerns with managers.
- HBO-level qualification or equivalent experience in Personnel and Labour.
- Familiarity with HR tools, processes, procedures, and relevant laws and regulations.
- Understanding of HR policies and business processes at Ricardo Rail Utrecht.
- Fluent oral and written communication skills in both Dutch and English; German and French are advantageous. Awareness of intercultural differences is beneficial.
