Artefact Northern Europe spans the Netherlands, Belgium, Luxembourg, and Sweden (but we don't limit ourselves to other Nordic countries). Our office is based in Creative Valley Utrecht, right next to Utrecht Central Station. The full team currently consists of 80 ambitious, diverse, and kind people. As an Office Manager, you will play a vital role in our daily operations! You ensure the office runs smoothly while also managing secretarial, administrative, and financial tasks. Additionally, you take on the organisation and coordination of events.
Your Role
As an Office Manager you will join our amazing staff team that consists of the HR Lead, HR Officer, Talent Specialist, Finance Lead, Finance Controller, and B2B Lead, and support daily business operations related to the following areas:
General office management
  • Office Organization: Ensure the office is tidy and presentable, maintain a good storage system, manage weekly office orders and office supplies, handle and file physical mail for finance and HR.
  • Office Decoration: Help decorate the new office area by organising and styling it well, coordinating plans, and ordering furniture.
Finance Support
  • Bookkeeping: Process accounts payable in Exact Online, manage company credit card and support the finance team with ad-hoc tasks and projects.
  • Financial Planning: Support budget preparation, financial planning activities, and ERP system management (e.g., timesheets).
People & Event Support
  • Team Events: Organise and coordinate team events, including planning events and track participants.
  • Gifts and Occasions: Arrange gifts and gestures for various occasions, and special events.
  • Travel Coordination: Help coordinate agendas, book flights and hotels for grouped meetings, and arrange travel for relocators.
Marketing & Communications:
  • Work closely with the B2B manager on marketing initiatives, social media posts and client events


Your Profile
  • You have 1-2 years of experience in office management, hospitality, or a similar role.
  • You are friendly, organised, and able to communicate effectively with team members at all levels.
  • You are proficient with MS Office and have experience with Exact Online.
  • You are familiar with basic financial tasks such as bookkeeping, processing expense reports, and assisting with budget preparation.
  • You are fluent in both English and Dutch, both spoken and written.
  • You have a keen eye for detail, a proactive and independent work attitude, and a hands-on mentality.
  • You are comfortable managing agendas, organising documents and internal events, and planning.
