Job Title: Administrative Executive
Job Description:
We are seeking a proactive and detail-oriented Administrative Executive to join our team. The ideal candidate will possess strong communication skills, a knack for secretarial tasks, and the ability to think outside the box to support our operations effectively. You will play a crucial role in ensuring smooth administrative processes, facilitating communication, and contributing to innovative solutions within the organisation.
Key Responsibilities:
  • Secretarial Support:
  • Manage scheduling and calendar coordination for executives and team members.
  • Prepare and organise meeting agendas, take minutes, and follow up on action items.
  • Communication Management:
  • Serve as a primary point of contact for internal and external communications.
  • Draft, edit, and distribute correspondence, reports, and presentations.
  • Office Management:
  • Oversee daily office operations, including managing supplies and equipment.
  • Ensure a professional and organized office environment.
  • Project Coordination:
  • Assist in the planning and execution of projects and events, including logistics and resource allocation.
  • Collaborate with various teams to ensure project milestones are met.
  • Problem Solving:
  • Identify opportunities for process improvements and propose innovative solutions.
  • Address challenges proactively and think creatively to overcome obstacles.
  • Data Management:
  • Maintain and organize confidential documents and files, ensuring data accuracy and security.
  • Assist with data entry and reporting as needed.
  • Customer Service:
  • Provide exceptional service to clients and visitors, addressing inquiries and resolving issues promptly.
  • Foster positive relationships with stakeholders both within and outside the organisation.
Qualifications:
  • Bachelor’s degree in Business Administration, Communication, or a related field (preferred).
  • Proven experience in an administrative or secretarial role.
  • Excellent verbal and written communication skills.
  • Strong organisational and multitasking abilities.
  • Proficiency in Microsoft Office Suite and familiarity with office management software.
  • Ability to think critically and creatively, with a proactive approach to problem-solving.
  • Strong interpersonal skills and a collaborative mindset.
