Job Summary:
The Procurement Coordinator (Vendor Communications) is responsible for managing vendor relationships, streamlining communications, and ensuring the timely procurement of goods in alignment with business needs. This role is focused on managing procurement activities in a dynamic e-commerce environment, handling vendor queries, coordinating order fulfillment, and resolving procurement-related issues. The coordinator ensures efficient execution of vendor orders, helping maintain the supply chain's accuracy and efficiency. This is an intermediate-level position requiring a blend of communication, problem-solving, and procurement skills to support operations.
Key Responsibilities:
- Vendor Communication & Relationship Management:
- Serve as the primary point of contact for vendors in procurement processes.
- Communicate purchase order requirements, lead times, and delivery expectations with vendors.
- Maintain strong vendor relationships, ensuring timely responses to queries and updates.
- Coordinate with vendors to resolve issues related to order discrepancies, delays, or product quality.
- Order Management:
- Assist in the preparation and processing of purchase orders based on stock levels, sales forecasts, and customer demand.
- Track and monitor purchase orders from initiation to delivery, ensuring timely fulfillment of orders.
- Work with internal teams (sales, inventory, and warehouse) to ensure that orders meet customer requirements.
- Monitor order progress and update internal systems accordingly.
- Inventory Coordination:
- Ensure that procurement activities align with inventory needs, preventing stockouts or overstock situations.
- Collaborate with the inventory management team to ensure product availability and timely replenishment.
- Assist in analyzing sales trends to inform purchasing decisions.
- Issue Resolution:
- Proactively identify and resolve procurement issues such as late deliveries, wrong shipments, or quality problems.
- Liaise between vendors and internal departments to address and resolve operational or logistical problems.
- Escalate unresolved issues to the Procurement Manager, ensuring prompt attention.
- Documentation & Reporting:
- Maintain accurate records of vendor communications, purchase orders, delivery schedules, and invoices.
- Track key procurement metrics, including lead times, vendor performance, and order accuracy.
- Prepare reports on procurement activities and performance for management review.
- Cross-functional Collaboration:
- Work closely with teams across the company, such as logistics, warehouse, customer service, and finance, to ensure alignment in procurement activities.
- Provide regular updates to the procurement and inventory teams about vendor performance and order status.
- Assist in coordinating special projects related to vendor management or procurement improvements.
- Process Improvement:
- Identify opportunities for process optimization in the procurement workflow.
- Assist in implementing solutions to streamline vendor communications and improve order accuracy.
- Stay informed about e-commerce trends and supply chain best practices to recommend improvements.
- Education:
- Bachelor’s degree in Supply Chain Management, Business Administration, Logistics, or a related field.
- Experience:
- 2-4 years of experience in procurement, vendor management, or supply chain operations in an e-commerce or retail environment.
- Technical Skills:
- Proficiency in procurement software and inventory management systems (e.g., SAP, Oracle, Net Suite, or other ERP systems).
- Strong knowledge of Microsoft Office, particularly Excel, for reporting and data analysis.
- Basic understanding of supply chain concepts and e-commerce procurement processes.
- Communication Skills:
- Strong verbal and written communication skills, with the ability to convey information clearly and professionally to vendors and internal teams.
- Strong negotiation skills to resolve order discrepancies or negotiate pricing and delivery terms.
- Familiarity with e-commerce platforms, order fulfillment processes, and customer demand forecasting.
- Knowledge of procurement best practices, inventory management, and supplier relationship management.
- Ability to handle multiple tasks in a fast-paced environment and manage competing priorities.
- Experience with international suppliers and knowledge of import/export procedures is an advantage.
- Attention to Detail: Ensures accuracy in purchase orders, vendor communications, and order tracking.
- Problem-Solving: Quickly identifies procurement issues and works with vendors and internal teams to resolve them.
- Collaboration: Works effectively with cross-functional teams to ensure the smooth flow of goods and information.
- Time Management: Capable of managing multiple procurement orders simultaneously, meeting deadlines, and staying organized.
- Adaptability: Able to work in a dynamic and fast-paced e-commerce environment, adjusting to changing needs and priorities.
