Job Overview:
The Administrative Staff provides vital support to ensure the efficient operation of the corporate office. This role includes handling various administrative tasks, maintaining office services, and contributing to the overall functioning of the organization.
Key Responsibilities:
Office Management:
  • Oversee general office upkeep, ensuring supplies, equipment, and systems are maintained.
  • Manage office supplies inventory, reordering when necessary.
  • Coordinate with vendors, contractors, and maintenance staff for office-related needs.
Documentation & Record Keeping:
  • Organize and maintain files, both physical and digital, ensuring proper documentation and accessibility.
  • Assist in the preparation and processing of contracts, reports, and other corporate documents.
  • Handle document retrieval and storage for legal and compliance purposes.
Reception & Communication:
  • Manage the reception area, greeting visitors, and directing them to the appropriate departments.
  • Handle incoming and outgoing communication, including answering phones, emails, and mail.
  • Schedule appointments, meetings, and corporate events, ensuring timely communication with participants.
Support to Management:
  • Assist executives and other staff with administrative tasks, such as preparing correspondence and presentations.
  • Coordinate travel arrangements, itineraries, and accommodations for employees.
  • Prepare minutes during corporate meetings and distribute them accordingly.
Data Management:
  • Input and update data into company databases and ensure accuracy.
  • Compile reports for management based on data collected from various departments.
Liaison:
  • Act as a point of contact for interdepartmental communications.
  • Coordinate with other departments to facilitate smooth workflow and task management.
Other Administrative Duties:
  • Support corporate events and activities, including logistical arrangements.
  • Assist HR and finance departments in administrative processes such as employee documentation, payroll processing, etc.
Qualifications:
  • Bachelor’s degree in Business Administration, Office Management, or a related field.
  • Proficiency in Microsoft Office Suite (Word, Excel, Power Point).
  • Strong organizational skills and attention to detail.
  • Good communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Previous experience in an administrative role is preferred.
Job Type: Full-time
Pay: Php15,000.00 per month
