About the Role:
Join our dynamic team as an Event Project Specialist, where you will play a pivotal role in shaping and executing outstanding professional development events, networking opportunities, and online webinars for both our esteemed Association client and diverse corporate partners. This exciting and varied role offers the chance to work collaboratively with the Event Manager on major conferences, providing essential administrative support and contributing to the seamless execution of events.
What you’ll do:
Under the mentorship of the Director and Events Manager, you will be at the forefront of event coordination, overseeing the following key responsibilities:
- Meeting Coordination: Lead weekly meetings, crafting detailed agendas and providing comprehensive minutes and action items to ensure effective communication and collaboration.
- Sponsor Relationship Management: Nurture sponsor relationships by meticulously managing deliverables in accordance with contract arrangements, ensuring a mutually beneficial partnership.
- Event Preparation: Take charge of preparing event materials and administration, including run sheets, delegate materials, and slide packs, ensuring all aspects are finely tuned for a flawless event experience.
- Event Setup: Utilize Events Air and other platforms to set up events, including website design, registration categories, marketing templates, and electronic direct mail (e DMs).
- Technology Integration: Leverage your tech-savvy skills to set up and design conference Apps through various software platforms, ensuring seamless integration and user-friendly interfaces.
- Production Planning: Maintain an up-to-date production plan for various events, demonstrating meticulous organizational skills and an ability to manage multiple tasks concurrently.
- Calendar Development: Collaborate with the committee to develop and refine the annual professional development events calendar, tailoring it to the unique needs of specific clients.
- Marketing Expertise: Develop and implement marketing materials and schedules, showcasing your creativity and proficiency in tools like Canva to design compelling social media posts.
- Virtual Event Management: Coordinate the operations and management of virtual events and webinars using platforms such as Zoom, ensuring a smooth and engaging online experience.
- Multimedia Coordination: Brief multimedia personnel ahead of events, ensuring seamless execution and obtaining necessary materials during the event.
- Post-Event Analysis: Develop comprehensive Post-Event Reports incorporating survey results to drive continuous improvement in future events.
What You Bring:

- At least 4-5 years of project management experience in a previous event-based role, either in-house or agency.
- Exceptional communication and marketing skills, with a flair for creative writing.
- The ability to thrive in an evolving environment, managing time efficiently and working autonomously on concurrent projects.
- Strong leadership skills for effective stakeholder management.
- High attention to detail, accuracy, and problem-solving abilities.
- Exceptional organizational and multitasking skills.
- Proficiency in Apple Software and basic graphic knowledge.
- Tertiary qualification in marketing and/or events.
- Knowledge of key suppliers in Australia, including audiovisual, conference suppliers, and an active network of hotels.
- A proactive attitude, always ready to research and conduct risk assessments.
