Executive Assistant with Bookkeeping

The Executive Assistant (EA) provides high-level administrative support to senior executives, ensuring the smooth operation of the executive's office. The EA manages complex schedules, payroll, handles confidential information, coordinates communication, and represents the executive in interactions with internal and external stakeholders. The role requires exceptional organizational skills, attention to detail, and the ability to handle multiple tasks in a fast-paced environment.
Key Responsibilities:
Calendar Management:
- Manage and coordinate the executive’s daily schedule, including meetings, appointments, and travel arrangements.
- Proactively identify and resolve scheduling conflicts, ensuring the executive's time is used efficiently.
- Act as the primary point of contact between the executive and internal/external stakeholders.
- Screen, prioritize, and respond to emails, phone calls, and other forms of communication on behalf of the executive.
- Draft, proofread, and edit correspondence, reports, and presentations.
- Prepare agendas, documents, and presentations for meetings.
- Attend meetings, take minutes, and follow up on action items as required.
- Coordinate logistics for meetings, including booking venues, arranging catering, and setting up video conferencing.
- Plan and book domestic and international travel, including flights, accommodations, transportation, and itineraries.
- Prepare travel expense reports and ensure timely reimbursement.
- Handle sensitive information with the utmost discretion and confidentiality.
- Manage and maintain secure records and files.
- Analyze monthly financial data
- Process payroll by calculating employees' salaries, deductions, taxes, and other withholdings.
- Ensure payroll taxes are filed and paid on time.
- Prepare regular financial reports, such as balance sheets, income statements, and cash flow statements.
- Assist management with understanding the company’s financial position by providing accurate and up-to-date financial data.
- Help develop and maintain budgets.
- Monitor cash flow to ensure that the company has sufficient funds to cover operating expenses.
- Assist in tax preparation by organizing financial data, providing reports, and ensuring that all financial transactions are recorded properly for tax filing.
- Ensure compliance with relevant financial regulations and tax laws.
- Assist in managing and tracking various projects, ensuring deadlines are met and objectives are achieved.
- Coordinate with other departments to facilitate project completion.
- Manage office supplies, equipment, and other resources for the executive’s office.
- Process invoices, expense reports, and other financial documents.
- Perform general administrative duties as required.
- Build and maintain strong relationships with key stakeholders, including board members, clients, and partners.
- Represent the executive in a professional manner in all interactions.
- Education: Bachelor’s degree in Business Administration, Communications, or a related field preferred.
- Experience: Minimum of [3] years of experience as an Executive Assistant or in a similar role.
- Exceptional organizational and time management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Power Point, Outlook) and other relevant software.
- Proficient with Quickbooks
- Ability to work independently with minimal supervision.
- High level of discretion and confidentiality.
- Strong problem-solving abilities and attention to detail.
- Ability to multitask and prioritize tasks in a fast-paced environment.
Job Type: Full-time
Pay: Php40,000.00 - Php50,000.00 per month
