OPERATIONS ASSISTANT MANAGER
The Operations Assistant Manager plays an essential role in the operation of our organization since they support the supervision of the teams to guarantee a smooth operation to achieve the client’s satisfaction. The Operations Assistant Manager will be in this role for a minimum of 6 months (based on performance) since this position is the initial stage of becoming an operations Manager.
Responsibilities are as follows and not limited to:
An Operations Assistant Manager for LSG is expected, but not limited to comply with the following tasks and responsibilities for the Management position:
- Have excellent communication and relationships with the staff and especially with the client, once the Operations Assistant Manager fulfills Training duties (through check-in meetings / emails and calls).
- Responsible for overseeing and solving the operational client’s requests (Hiring processes, operational changes, conflicts resolution between employees, promote constant operational communication between LSG’s employees and the client). Once the Operations Assistant Manager fulfills Training duties, provide suggestions, or plans that can help promote the growth of the accounts assigned within the company as well as strength the relationship with our clients.
- Provide proper expectations for the employees when joining an account.
- Maintain confidentiality for both the account and the company.
- Supervise the productivity reports shared with clients by the QA and WFA departments and have a thorough understanding of what is being shared.
- Report to the Senior Operations Managers, Branch Managers, General Manager and Head of Divisions on any event that happened throughout the week, and status of the accounts which will bring to the table the opportunity to expose projects or plans for continued growth.
- Analyze on a regular basis the workload with QA and WFA to ensure the staff has the capability of accomplishing and meeting the client’s expectations. In addition to schedule alignment meetings with the above-mentioned departments to review such information.
- Find support in the Supervisor, Team Leads and Account Managers and work hand in hand with them, providing support and assistance in the areas needed (including any disciplinary actions).
- Expected to have knowledge of every department and position of the clients assigned to them, knowing basic and standard operating procedures for each, which allows them to allocate the proper candidates depending on their profile and the customers’ operation once the Operations Assistant Manager fulfills Training duties.
- The Operations Assistant Manager will organize and conduct monthly team meetings, followed by sending an email recap of the discussed topics for visibility.
- Will escalate any request for days off or vacations to the client. Each case will be studied by both parties and once a decision has been made (by the client) an email notifying the appropriate department must be sent.
- Perform all the procedures, functions, or activities the Senior Operations Manager, Branch Manager or General Manager requires. Giving a full status update of them.
- The Operations Assistant Manager needs to be well informed to keep the staff updated about the evolution of the company’s processes, keeping them accountable to adhere to the correct procedures.
- The Operations Assistant Manager needs to be well informed of the company’s internal processes, educating the staffers in such processes.
- The Operation Assistant Manager is responsible for accurate and timely payroll processing, ensuring compliance with regulations, procedure and company policies, providing documentation for audits, transparently communicating payroll information to employees, and maintaining confidentiality through standardized procedures.
- Report all extra charges for the assigned clients through the Billing App favoring transparency and accuracy in financial transactions and client invoicing processes to ensure timely billing to the client. This is imperative, as failure to report such updates on the designated dates in the payroll schedule impacts the employees’ wages.
Pay: Php45,000.00 - Php60,000.00 per month
