The Department of Corrections is seeking a highly motivated and qualified individual for the position of Administrative Assistant 3 at the Monroe Correctional Complex (MCC) in Monroe, WA. This position is the primary contact and provides administrative support to the Associate Superintendent at the Sky River Treatment Center. This recruitment may be used to fill other Administrative Assistant 3 vacancies.
Monroe Correctional Complex (MCC) is a 1500 bed male all-custody level facility located 30 miles northeast of Seattle. Employing approximately 1000 staff, the complex consists of five major units: the Washington State Reformatory Unit (WSRU), Sky River Treatment Center (SRTC), a large mental health inpatient treatment unit, Twin Rivers Unit (TRU), Intensive Management Unit (IMU), and the Minimum-Security Unit (MSU). Services provided at MCC include custody and security, classification, education, incarcerated individual's treatments, food service, maintenance, personnel, recreation, volunteer services, religious services, library services, incarcerated individual's records, visiting and extended family visiting.
Department of Corrections (DOC), as a partner in the criminal justice system, enhances public safety, administers criminal sanctions and programs in accordance with the law and provides leadership for the future of corrections in Washington State. Whether the work is inside a prison, in community corrections, or in an administrative office, the Washington State Department of Corrections professional staff experience a high degree of personal satisfaction knowing they are creating environments in which all incarcerated individuals can learn to make choices that contribute to a safer society.
Duties
Duties include but are not limited to;
- Prioritize and coordinate complex work assignments and projects.
- Acts in supervisor’s absence in matters concerning the administrative operation of the office.
- Keeps supervisor informed of significant and important items requiring Associate Superintendent review.
- Drafts correspondence for review and approval utilizing the Department’s correspondence guidelines. Writes a variety of materials e.g., letters, memoranda, reports etc. Ensures the quality of the work by proof reading, format, and attention to grammar.
- Gathers background information for investigations e.g., Incarcerated grievances, etc.
- Independently researches and compiles data necessary for the preparation of reports and special projects.
- Takes and transcribes meeting minutes.
- Develops and maintains status tracking systems to ensure timely submission of tasks assigned to the Associate Superintendent and Managers under their supervision.
- Maintains and schedules calendar, appointments, and meetings for the Associate Superintendent.
- Arranges travel and accommodations required for business.
- Runs background checks for facility visitors and distributes necessary clearance paperwork.
Qualifications
High School Diploma or equivalent level of education
And
Three years of progressively responsible experience in office, secretarial, bookkeeping, accounting, or general administrative work to include drafting and proofreading letters, memos and/or reports using correct grammar and punctuation.
OR
Formal education and/or training in office or secretarial occupations, bookkeeping, or accounting may substitute, year for year, for experience.
Proficient in Microsoft Office Suite (Includes Word and Excel) to develop complex documents.
Knowledge of office procedures and practices: business management practices, research methods and data collections: communication and correspondence practices.
Ability to work independently, read, understand, and interpret policies and procedures; develop written reports; work effectively with others; communication effectively, both in writing and speech.
Establish, update, and maintain numerical and alphabetical filing systems; or use and electronic filing system.
Able to work in high profile fast paced environment where priorities are constantly changing.
Able to always maintain a high level of confidentiality.
Proficient in composing, sending, and replying to electronic mail. Utilize e-mail program (Outlook) such as calendars and meeting requests.

- Analyze and interpret data, weigh the risks, and make decisions or recommendations to address staff and offender needs.
- Identify and address offender behavior/needs.
- Organize and prioritize work.

Technology - Learns and utilizes computer-based applications in the performance of job duties.
Stress Tolerance - Remains calm and rational while handling difficult situations to include, but not limited to, volatile, threatening or other crisis/emergency situations. Expertly intervenes in response to threats.
Professional Standards - Knows and applies relevant law, policy, procedure, and practice. Adheres to established productivity standards and timelines. Identifies own training needs and proactively seeks training opportunities.
Adaptability - Incorporates new information into an existing framework of understanding. Accepts change and supports the Agency through changes in law, policy and procedure.
