The Opportunity:
This is a Limited Duration Assignment (LDA). Limited Duration Assignments can end at any time. This LDA is expected to be needed for up to one (1) year but may be extended for a maximum of two (2) years total. LDA’s are eligible for our wonderful benefits package.

Position Overview:
Do you have an eye for detail that ensures accuracy in your work? Does providing professional support to your colleagues and dependable customer service to applicants align with your strengths and skill set? Can you be relied on to work with discretion and maintain confidentiality? If so, this Office Assistant Senior in the Background Investigation Unit might be the position for you! This position will provide crucial support to Background Investigators (BI), who provide comprehensive investigative reports that detail the history of candidates that are being considered for employment with MCSO.
Primary Responsibilities:
  • Provide administrative support for the BI’s.
  • Maintain complex manual and computerized recordkeeping systems for records on each candidate.
  • Process paper documents received in the unit and convert into digital documents. Manage the unit fax. Save all documents in the correct electronic folders. Review and follow-up when necessary.
  • Request local record checks from other public safety agencies on behalf of BI for each applicant. This includes identifying all local agencies adjacent to where applicant has resided, attended school, or worked since age of 18.
  • Assist applicants when they reach the background stage and are providing required forms, documents, and information. Review a variety of forms received from candidates to make sure they are complete and accurate. Verify candidates have provided completed copies of all the required documents that are required for the position they are being backgrounded for. Follow up with candidates by phone, text and/or email when needed due to missing and/or incomplete information and documents.
  • Answer candidate questions about completing the background paperwork and the background investigation process. Answers will vary depending on what position the candidate has applied to and a candidate’s own circumstances.
  • Notarize documents for candidates.
  • Run record checks on candidates using multiple law enforcement data programs to collect and interpret the records history for each applicant. Verify information found pertains to the applicant and not someone with similar name, date of birth, or other identifiers. Use information collected to prepare a thorough and reliable summary for use in the full background investigation. Create electronic file of records.
This position will primarily work from the Multnomah Building to have access to daily mail, paper files, and copy and scanning machines, but may be approved to telework one day each week after fully being trained.

Minimum Qualifications/Transferable Skills:
  • Completion of the twelfth grade or equivalent.
  • Required: Three (3) years of experience providing complex and detailed clerical support duties, including data entry, proof reading, recordkeeping, public contact and document processing, distribution and storage.
  • Must pass a thorough background investigation which includes, but is not limited to a review of the applicant’s criminal, civil, driving, military, educational, and employment history.
Preferred Qualifications/Transferable Skills: You do not need to have the following preferred qualifications/transferable skills to qualify. However, keep in mind we may consider some or all of the following when identifying the most qualified candidates.   • LEDS Certification
  • Experience working in a public safety setting
  • Computer expertise and knowledge of a wide range of software applications
  • Oregon Notary
  • Transferable skills: Your transferable skills are any skills you have gained through education, work experience (including the military) or life experience that are relevant for this position. ADDITIONAL INFORMATION:
This recruitment may be used to fill full-time, part-time, temporary, limited-duration, and on-call positions.
Type of Position: Hourly, overtime eligible, represented by the AFSCME Local 88 union.
Schedule: Monday through Friday, day shift.
Hybrid Telework: This position is eligible for Hybrid Telework after the training period, and as remote work is available. The expected availability of remote work is 1 day a week; in-person at the onsite location is expected 4 days a week. The designation of Hybrid Telework may be subject to change at a future time. All employees must reside in Oregon or Washington; the county cannot support ongoing telework from other locations. The onsite work location for this position is the Multnomah Building, 501 SE Hawthorne Blvd. Ste 350, Portland, OR 97214.
Pay Equity: Please be advised that the pay range listed for this position is intended to provide general guidance on the earning potential for the role. However, actual compensation will be determined in accordance with the Oregon Equal Pay Law and will take into account factors such as the candidate's relevant experience and education. Candidates should expect that initial offers will be made within the listed pay range and may not be at or near the top of the range.
