Job Description :
The Administrative Assistant role requires someone who displays exemplary customer service skills, including the ability to handle complex and sensitive calls in a timely, professional, and courteous manner. The successful candidate will perform a variety of administrative duties such as mailing, faxing, printing, and uploading of documents.

General Duties:
Under the direct supervision of the National Director of Intake the Administrative Assistant will be responsible for the following:
- Answer all incoming telephone calls within 30 seconds in an efficient manner and transfer to appropriate party
- Cover reception desk when assigned and as needed: answering phones, greeting, and assisting visitors and patients
- Assist with meeting preparations – reserving conference rooms, escorting guests
- Receive and process incoming mail, signed delivery tickets and other documents as assigned
- Upload documents quickly and accurately in the appropriate computer system
- Light cleaning – Conference Rooms, kitchens, common areas as needed
- Replenish employee kitchens
- Coordinate courier pickups
- Polite and professional communications
- Handle company info with appropriate sensitivity and safeguards to ensure confidentiality and compliance with applicable local, state, and federal laws
- Other duties as assigned
Required Education, Certification, Experience and Skill Requirements:
- High School diploma or equivalent. College degree is preferred.
- Minimum of 3 years’ experience in customer service, preferably at a high-volume call center
- Minimum of 3 years’ experience in an administrative capacity
- Detail-oriented with strong interpersonal skills
- Must be able to work in a fast-paced environment
- Ability to prioritize, perform multiple tasks at one time, and have good organizational skills.
- Ability to provide excellent/professional customer service, both face to face and on the telephone
- Excellent Communication skills including reading, writing, and speaking to effectively handle position responsibilities
- Proficiency in Microsoft Office Suite
- Knowledge of CPR+ preferred
