About the Embassy of Canada to the Netherlands
Located in The Hague, the Embassy of Canada to the Netherlands plays a crucial diplomatic role in advancing Canadian interests in the Netherlands and at Hague-based international organizations while fostering strong bilateral relations, facilitating trade and investment opportunities, providing consular services, and promoting cooperation across various fields.
Summary of Duties
Under the general supervision of the Counsellor (Management) and Consul and supervision of the Consular Officer this position may include but not limited to:
- Provide services on behalf of all programs of the Embassy, which include operating the switchboard, welcoming visitors, providing general information, responding to a wide range of enquiries and controlling physical access to the mission.
- Provide mail services to the mission including receiving, sorting, screening and recording incoming and outgoing mail and preparing monthly statistics.
- Provide support to the Consular Section in the absence of dedicated program staff or during periods of high demand as Consular Assistant Backup.
- Provide administrative and logistical support to all programs on various thematic such as security, emergency preparedness, events, transportation, etc.
- Liaise as needed and required with local service providers.

ESSENTIAL QUALIFICATIONS
Candidates will initially be screened against the Essential Qualifications relating to education, language* and experience.
Candidates must clearly demonstrate when applying to the position how they meet each of these essential qualifications.
*Language will be assessed further during the process.
Education:
Candidates will be required to provide proof of the completion of their education.
- MBO-4 or HAVO or high school diploma or higher from a recognized post-secondary education institution.
- Fluency in English (reading, writing, comprehension, and speaking)
- Fluency in Dutch (reading, writing, comprehension, and speaking)
- Basic knowledge of French (comprehension and speaking)
- Working experience* as a receptionist or as an administrative assistant providing services to external and/or internal clients in person, by telephone and electronically
- Experience working in a team providing client service.
- Data entry experience* on varied informatics supports and applications including Microsoft Word, Outlook and Excel
RATED REQUIREMENTS
The Rated Requirements are part of the essential qualifications and are relating to knowledge, abilities and competencies. Methods of assessment for rated requirements may include, but are not limited to, a written examination, an oral interview (online pre-recorded/live or in-person), role-play, practical tests, presentations and/or psychometric assessment.
Knowledge:
- Working knowledge of standard office suite software application (Microsoft Office - Word, Excel, Outlook Mail) and collaborative tools as well as internet research skills.
- Knowledge of general office principles such as: preparing correspondence for external or internal clients, monitoring general mailbox and courier services, monitoring an online booking system, and/or calendar and/or agenda, maintaining an effective filing system.

Preference may be given to candidates who meet the Asset Qualifications. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications.
- Experience working on Passport, citizenship, immigration or consular matters
- Experience working at an Embassy or International Organization
- Experience working with the Government of Canada
- Fluency in French (reading, writing, comprehension, and speaking)
The selected candidate must be willing to work overtime and provide surge capacity during office hours, sometimes on short-notice, to replace his/her colleague receptionist or act as back-up for the consular assistant during annual leave, absences or emergencies.
Operational Requirements:
- Hours of work: minimum 18.75 hours per week. Hours may sometimes be higher when replacing colleague receptionist during annual leave, absences or emergencies
- Willingness and ability to work overtime occasionally after normal working hours or to cover holidays and absence
- Willingness to undergo training
- Requirement to work directly with the public including with Canadians in distress
- Available to start as soon as possible
Conditions of employment must be met or complied with before being appointed to a particular position, and are to be maintained throughout the employment while being the incumbent of this position.
- Valid work authorization: Ability to obtain and hold a valid work authorization covering the entire employment period.
- Security screening: Obtain and maintain a Reliability Status (security level) which includes a criminal and credit background check from the Government of Canada covering the entire employment period.
