Divisional Services and Administration is a team of highly skilled professionals responsible for delivering outstanding student and staff experiences through high quality, confidential secretarial and administrative support services. We are a strong supportive whakawhanaungatanga, (community), proud of the work we do as the largest workforce in the university, spanning every corner of the motu.
The roles/Te mahi
We have two exciting roles, one supporting Higher Education and the other supporting Student Learning Development and both play a vital role in the day-to-day running of these offices.
Student Learning Development:
This is a busy front-facing role with students as your focus. You will need strong organisational skills, attention to detail, and the ability to handle multiple tasks efficiently.

Key tasks will include coordinating PASS Facilitators session schedule, one-on-one Consultations, and supporting student learning.
Higher Education Development Centre:
This is a busy role with a wide scope of work. HEDC is embarking on a new direction in 2025, and this role will be responsible for helping streamline and realign the requirements of the Centre. The role includes being a contact point within the Centre for the support of Academic staff in Learning and Teaching, working closely with other Academic divisions.

These are both varied positions offering a wide scope of generalist administration including:
  • being the first point of contact for the department.
  • coordinating travel arrangements.
  • managing meeting and session schedules.
  • providing support with HR processes.
  • transactional finance tasks such as PCard coding, invoice generation, and reimbursements.
  • monitoring and managing diaries and emails.
  • workshop and event management and providing support to students and teaching staff.
You will be part of a wider team of Administrators and Executive Assistants within the Academic Division. Whilst the focus in these roles is supporting Higher Education and Student Learning Development Centre and their internal and external customers, you may be required to assist in other areas as needed.

We are looking for candidates with:
  • A passion for delivering exceptional service to a wide range of stakeholders.
  • Proficiency in the Microsoft Office suite of programmes.
  • Experience in transactional finance processes.
  • A self-starter attitude and a desire to continually learn and grow.
  • Dedication to working in a culturally safe and respectful manner and demonstrates an understanding and appreciation of Te Ao Māori, Te Tiriti o Waitangi principles, and Pasifika values.
Further details/Pūroko
Both roles are full-time (37.5 hours per week), fixed term opportunities for nine months based in Ōtepoti, Dunedin.
The appointment range for both roles is $59,285 to $63,651 per annum. Top of the range is $68,744.
