The Health, Safety, and Environment Office is dedicated to maintaining a safe and sustainable campus. We are seeking a detail-oriented Assistant Officer (Administration) to support our administrative functions.

The appointee will provide administrative and clerical support to the Section Heads and HSE Field Team. The appointee will also share the duties in daily office operation in the Administration team, assist in organizing events, and perform other duties as assigned by the supervisor.

Major Duties:
Procurement and Payment Processing:

• Input procurement and payment data accurately.
• Process payments and manage reimbursement requests, including small expenses for business events.

Record Keeping and Reporting:

• Maintain accurate records of transactions and documentation.
• Assist in generating reports for budget tracking and analysis.

Travel and Reimbursement Management:

• Prepare travel claim forms and process reimbursement payments for duty visits.

Administrative and Secretarial Support:

• Provide secretarial assistance to Senior Managers.
• Handle customs declarations, order stationery, and manage daily office operations.

Communication and Team Coordination:

• Address general inquiries and coordinate communication between departments.
• Provide general support to the team, including lunch arrangements, greeting guests, and handling phone calls.

Qualifications:

• Bachelor's degree in business and management or a related field.
• Proven experience in administrative roles.
• Familiarity with e Procurement systems and financial software.
• Strong organizational and multitasking abilities.
• Excellent written and verbal communication skills.
• 10 years of relevant working experience is desirable.
• Good team player with strong interpersonal and communication skills.
• Proficiency in written and spoken English and Chinese (Cantonese and Putonghua).
• Proficiency in computer skills and Microsoft Office applications (Word, Excel, Power Point).

The position is for a duration of 2 years, renewable.

Starting salary will be commensurate with qualifications and experience. Fringe benefits including annual leave, medical and dental benefits will be provided. A gratuity will be payable upon successful completion of contract.
