Operations Specialist/Manager

The Operations Specialist/Manager is responsible for overseeing and managing the day-to-day operations of the company, ensuring efficiency, productivity, and profitability. This role involves coordinating and optimizing operational processes, implementing strategies for continuous improvement, and managing resources effectively. The Operations Specialist/Manager will also work closely with other departments to align operations with the overall company goals and objectives.
Key Responsibilities:
- Manage the daily operations across various departments, ensuring smooth and efficient processes. Identify areas of improvement and implement strategies to enhance operational efficiency.
- Analyze existing processes and workflows to identify inefficiencies or bottlenecks. Develop and implement improvements to streamline operations, reduce costs, and increase productivity.
- Manage group policies and the policy repository; be a key contributor to the creation and maintenance of various SOPs across multiple departments.
- Oversee the allocation and utilization of resources, including equipment, and materials, to ensure optimal productivity and cost-effectiveness.
- Assist in the preparation and management of the operations budget, monitoring expenses, and ensuring adherence to financial targets.
- Ensure all operations comply with relevant laws, regulations, and company policies. Maintain a safe and secure working environment by enforcing safety standards and procedures.
- Manage relationships with vendors and suppliers, negotiating contracts, and ensuring timely delivery of goods and services.
- Work closely with other departments, such as finance, HR, to ensure alignment of operational activities with the company’s overall strategy.
- Prepare and present regular reports on operational performance, challenges, and opportunities to senior management.
- Support customer audits of the group and SOC2 operational audits
Qualifications:
- Bachelor’s degree in Business Administration, Operations Management, or a related field. Professional certification (e.g., Six Sigma, PMP) is a plus.
- A minimum of 6 years of experience in operations management, preferably in the financial services sector. Candidates with less experience will be considered for a Specialist position.
- Excellent problem-solving and decision-making abilities.
- Proven experience in process improvement and resource management.
- Strong financial acumen and budget management skills.
- Excellent communication and interpersonal skills.
- Fluency in English, Cantonese and Mandarin
- Proficiency in operations management software and tools.
- Ability to work under pressure and manage multiple priorities.
