Executive Assistant

The Executive Assistant supports the Country Head by managing the calendar, coordinating travel and meetings, and handling sensitive information. Key tasks include scheduling, preparing agendas, attending meetings, and building relationships. Strong organizational skills, attention to detail, discretion, and time management and problem-solving proficiency are essential for this fast-paced role.
Job Description:
- Schedule and prioritize meetings, appointments, and conferences for the Country Head.
- Organize domestic and international travel, including itineraries and expense reports.
- Prepare agendas, attend meetings, take minutes, and follow up on action items.
- Manage documents, maintain discretion, and handle sensitive information
- Liaise with internal/external contacts and build relationships.
- Support special projects and manage office operations.
- Anticipate issues, provide solutions, and make decisions on behalf of the executive.
- Organize corporate events and functions.
- Assist with personal tasks and act as a trusted advisor.
Education & Knowledge:
- Bachelor’s Degree in Business Administration, Office Management, Communications, or a related field.
- Additional certifications or relevant coursework are advantageous.
- Business Acumen: Strong understanding of organizational goals, structure, and operations.
- Executive Support: Proficient in executive-level administrative processes.
- Office Management: Familiarity with office procedures and best practices.
- Confidentiality: Expertise in handling sensitive information with discretion.
- Technology Proficiency: Skilled in office productivity tools (e.g., Google Workspace, MS Office).
- Exceptional ability to manage multiple tasks, prioritize, and meet deadlines.
- Proficient in coordinating executive schedules, meetings, and travel.
- Able to anticipate challenges, devise solutions, and make independent decisions.
- Strong communication and relationship-building skills to interact with internal and external stakeholders.
- High attention to detail in managing information and documents.
- Skilled in planning events, preparing materials, and tracking action items.
- Maintains utmost confidentiality in all tasks.
- Takes initiative in identifying areas of improvement and opportunities to assist.
- Flexible and effective in fast-paced environments with shifting priorities.
- Works well across departments and fosters team collaboration.
- Composed under pressure, capable of managing unexpected challenges.
